About Us Woodlands Psychotherapy and Brain Training is a neuroscience-informed mental health clinic serving The Woodlands and greater Houston area. We provide psychotherapy, psychiatry, QEEG brain mapping, neurofeedback, and other specialized services to help clients achieve lasting results. Our team values professionalism, compassion, and innovation. Position Overview We are seeking a detail-oriented and motivated Clinic Administrator to manage the daily operations of our busy practice. This role is central to ensuring smooth scheduling, client onboarding, insurance and billing coordination, and communication across clinicians and clients. Key Responsibilities Manage front desk operations including phone calls, emails, and client inquiries. Schedule and confirm client appointments. Assist with intake paperwork, billing, and insurance claim submissions. Maintain accurate records in our EHR system (SimplePractice experience is a plus). Coordinate communication between clinicians, clients, and external partners. Support marketing and administrative projects as needed. Uphold HIPAA compliance and client confidentiality at all times. Qualifications Previous administrative or office management experience (healthcare or mental health setting preferred). Strong organizational skills with attention to detail. Excellent written and verbal communication skills. Ability to multitask and prioritize in a fast-paced environment. Proficiency with scheduling software, Microsoft Office/Google Workspace, and willingness to learn new systems. Professional, warm, and client-focused demeanor.
