Job Description

We are a small, client-focused investment firm dedicated to delivering personalized financial advice and superior client customer service. Our team values integrity, attention to detail, and strong client relationships. We are seeking a motivated Financial Assistant to support our two licensed advisors and help manage daily office operations. The Financial Assistant will provide administrative and operational support, manage client service needs, and oversee office organization. This role is a blend of account opening and account activity processing based upon advisor instruction, client-facing service, and office management responsibilities. The ideal candidate is detail-oriented, professional, and comfortable interacting with clients while ensuring the smooth functioning of the firm. This position is full-time on-site.
Key Responsibilities:
Prepare, review, and process account applications, transfers, and other client forms Maintain accurate and organized client records in compliance with regulatory requirements Track and follow up on pending paperwork and transactions Assist with report preparation and meeting materials Serve as a point of contact for client inquiries and scheduling Greet and assist clients in person, by phone, and via email Support client onboarding and ensure a smooth experience Manage day-to-day office operations, daily maintenance/cleaning, and supplies Support compliance and record-keeping processes Assist with internal communications and maintain a professional office environment
Qualifications:
Previous experience in financial services preferred, office administration, or client service Strong organizational skills and attention to detail Excellent communication skills, both written and verbal Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with financial software systems Ability to handle sensitive information with discretion and confidentiality Self-starter who can manage multiple priorities in a small-team environment Must be subject to fingerprinting and background screening.
