Job:
This position is responsible for supporting the logistics functions of our operations. Primary responsibilities include supporting operations through customer service functions. Customer Service functions include data entry, problem solving, report creating and implementing and maintaining logistics functions with various customers, vendors and agents.
Job Responsibilities:
Review and verify shipment documents from the warehouse for completeness and accuracy. Enter shipment and Bill of Lading data accurately into Polar's internal operations system, including shipment dimensions, weights, and routing information. Identify, correct, and update shipment details as needed to ensure data integrity. Communicate with customers to confirm or obtain missing shipment information and ensure proper routing and documentation. Partner with dock and operations teams to resolve documentation discrepancies and maintain efficient freight handling. Collaborate with internal departments to ensure service expectations are met and customer commitments are fulfilled. Build and maintain positive, professional relationships with customers and coworkers through clear communication and responsive follow-up. Address customer concerns, provide appropriate solutions and alternatives, and ensure timely resolution. Monitor operational demands, business objectives, and customer expectations to support service quality and accuracy. Maintain organized digital records and ensure all information is current and precise. Work with local trucking, barge, and delivery agents to ensure proper routing, documentation, and on-time delivery. Identify shipments requiring special handling, consolidation, or unique routing instructions. Support efficient information flow between operations, customer service, and leadership teams. Occasionally assist with parcel processing at the dock (lifting up to 50 lbs).
Requirements:
3+ years of logistics, operations, or data administration experience Advanced attention to detail and accuracy — quality work is your trademark Strong problem-solving and customer service skills Excellent written and verbal communication Proficient in Microsoft Excel (formulas, formatting, data validation preferred) Reliable, organized, and steady under pressure Positive, professional attitude with a team-first mindset Must be able to lift up to 50 lbs. occasionally
