Job Description
Job Summary:
The Service Writer serves as a crucial liaison between customers and the service department at our power tool shop. This role involves managing service requests, handling parts orders, overseeing rental tools, and ensuring smooth operations in work order flow, cash handling, POS systems, and inventory management. The Service Writer ensures that work orders are processed efficiently, parts are ordered and received promptly, and customers receive exceptional service.Key Responsibilities:
Customer Interaction:
Greet customers in a friendly and professional manner, providing exceptional service throughout the repair process.Repair Coordination:
Provide detailed explanations of services to customers. Convey customer's needs to service team and service recommendations back to customer. Seek approval for estimates and coordinate with the service team to ensure efficient and timely completion of services.Communication:
Act as the liaison between customers and the service team. Provide regular updates to customers on the status of their repairs and address any questions or concerns.Parts Management:
Order and manage parts needed for repairs. Track inventory levels, place orders, and ensure timely receipt of parts. Verify received parts against orders and handle discrepancies.Rental Tools:
Operate the rental tool program, including managing inventory, processing rental agreements, and ensuring tools are maintained and ready for use.Cash Handling:
Proficiently handle cash transactions, process payments, and manage refunds. Maintain accuracy in cash drawer and ensure proper reconciliation at the end of shifts.POS and Inventory Systems:
Utilize point-of-sale (POS) systems for processing transactions and managing service orders. Maintain and update inventory systems for parts and tools.Workspace Maintenance:
Maintain a clean and organized workspace.Requirements:
Experience :
Previous experience as a service writer, service advisor, parts counter associate, office/shop administrator, or a related role. Willing to train the right person who is organized, well motivated, and willing to learn.Technical Knowledge:
Basic mechanical aptitude and problem-solving skills are essential. Knowledge of power tools is a plus.Parts Ordering:
Experience in creating and managing parts orders and receiving parts. Ability to track inventory and handle discrepancies effectively.Customer Service Skills:
Excellent interpersonal and communication skills with a strong focus on customer service. Ability to handle difficult situations with professionalism and tact.Organizational Skills:
Strong organizational abilities with attention to detail. Ability to multitask and manage time effectively in a fast-paced environment.Computer Skills:
Proficiency in using computer systems, including POS systems and database inventory systems for service management, invoicing, inventory tracking, and parts ordering.Cash Handling:
Experience in cash handling and transaction management.Education:
High school diploma or equivalent. Additional technical training or certification related to the industry is advantageous.Physical Requirements:
Ability to lift and move power tools or equipment weighing up to 55 lbs. Ability to stand and move around the shop for extended periods.Job Type:
