Job Description

Company Background:
We are a multilocation tax and accounting firm located in the Cerritos area looking for a Full-Time Client Services Representative. The ideal candidate is detail-oriented, confident in verbal and written communication, motivated to solve problems, and able to think critically under pressure. This role will require weekly shadowing at both the Cerritos and Irvine offices to ensure hands-on learning and consistent training. Key Responsibilities Notice Intake & Tracking Review incoming client notices (IRS, State, or local agencies). Log notices into the firm's tracking system with key details (client name, notice type, deadlines, and required actions).
  • Interacting with income tax advisors and their clients to process new business, secure forms, pull client reports and statements
  • Assist with account changes and maintenance as well as research technical questions
  • Ensure compliance procedures for role are adhered to based on company policy
  • Prepare and edit correspondence, communications, presentations, client meeting materials and other documents
  • File and retrieve documents and reference materials within compliance guidelines for advisors and clients
  • Conduct research and analyze data to prepare reports and documents
  • Manage and maintain advisor's appointment schedule
  • Answer and manage incoming calls and emails
  • Receive and interact with incoming visitors
  • Liaise with internal staff at all levels
  • Coordinate project-based work The preceding functions have provided examples of the types of work performed by employees assigned to this job classification.

  • Excellent customer service skills, including patience and flexibility
  • Great organizational skills, including time management and strategic thinking
  • Keen attention to detail
  • Ability to work independently on assigned tasks

  • Must meet background check
  • Proficient with Microsoft Office and Outlook
  • Customer service oriented with strong writing, speaking, communication and phone skills
  • 2+ years of administrative experience
