Job Description

We are looking for a bilingual Administrative Coordinator - Client Services to provide dependable front-office and program support for a client-focused team in San Mateo, California. This Long-term Contract position is ideal for someone who combines strong administrative organization with compassionate customer service and can communicate effectively in both English and Spanish. The person in this role will help maintain daily office operations, support client intake activity, and ensure records, schedules, and shared spaces are managed accurately and effectively.
Responsibilities:
  • Coordinate day-to-day administrative activities, including supply tracking, document management, filing, data entry, and upkeep of office equipment.
  • Manage calendars and appointment scheduling for team members, helping maintain organized and efficient daily operations.
  • Welcome clients and visitors, assess their immediate needs, and guide them to the appropriate program, staff member, or external resource.
  • Support intake-related processes by sharing agency information, routing inquiries appropriately, and assisting with client service documentation.
  • Prepare, scan, upload, and maintain records within cloud-based folders and designated databases, ensuring information remains complete and current.
  • Generate requested reports and provide general operational support to the department as priorities shift.
  • Help keep office and shared areas orderly, safe, and ready for staff, clients, and visitors.
  • Contribute to seasonal program activities, including assigned support for holiday-related initiatives and related coordination tasks.
  • Assist with the onboarding, guidance, and day-to-day direction of assigned volunteers while maintaining clear boundaries with all constituents.
