Job Description Pet's Friend Animal Clinic is a 7-doctor practice with a busy, fast-paced environment, and we're looking for a Client Service Representative (CSR) to join our team. Our CSR team plays a critical role in creating a strong client experience while helping the hospital run smoothly day to day. We're looking for someone who is organized, dependable, confident with technology, and able to communicate clearly and professionally with both clients and team members. This role is ideal for someone who is comfortable balancing customer service, administrative tasks, and fast-paced problem solving while maintaining a calm and positive attitude. At Pet's Friend, patient care and client care go hand in hand. We prioritize accuracy over speed, communication over assumptions, and teamwork over silos. Every role supports patient safety and the overall hospital experience. We currently use AVImark , so experience with veterinary practice management software is preferred. Strong candidates who are comfortable with technology and can quickly learn new systems are encouraged to apply. This position follows a 5/8 schedule , with five 8-hour shifts per week based on hospital needs and client care demands. This role also includes 1-2 scheduled Saturdays per month as part of shared team coverage and hospital support. You'll work closely with our Lead CSR team, doctors, support staff, and hospital leadership to help maintain strong communication, efficient workflow, and a high standard of client care. Key Responsibilities Greet clients and patients while creating a welcoming and professional front desk experience Answer phones, schedule appointments, and manage client communication efficiently Respond to emails clearly, professionally, and in a timely manner Process payments, deposits, and invoices accurately Review records, confirm appointments, and help maintain scheduling flow Utilize AVImark for scheduling, invoicing, patient records, and daily hospital workflow Appropriately prioritize urgent appointments, same-day visits, surgery drop-offs, and doctor scheduling flow Communicate realistic expectations to clients regarding appointments, records, wait times, and hospital policies Confidently discuss deposits, estimates, payment expectations, and financial policies with clients Handle difficult conversations professionally, including cancellations, late arrivals, deposit requirements, and upset client concerns Communicate effectively with doctors and support staff to ensure smooth patient care coordination Assist with administrative tasks including document management, record requests, and client follow-up Support hospital operations by helping maintain organization, workflow, and strong client service standards Requirements Veterinary or medical front desk experience preferred, but not required Experience with AVImark is preferred Strong computer skills and comfort learning multiple software systems Technology literate with the ability to troubleshoot basic issues and adapt to changing systems Strong written communication skills, including professional email communication Excellent phone etiquette and client service skills Strong attention to detail, organization, and follow-through Strong sense of ownership, accountability, and follow-up in daily responsibilities Ability to stay organized and composed while managing multiple priorities in a high-volume environment Ability to work well in a fast-paced, team-focused environment Availability to work 1-2 Saturdays per month Professionalism, reliability, and a solution-focused mindset Willingness to accept coaching, adapt, and support the hospital as a whole Why Join Pet's Friend?
