FUNCTION AND ROLE
Front-line representation of the company and performs basic office and administrative functions, as necessary.
POSITION OVERVIEW
The Client Services Representative is the primary point of contact for clients, responsible for delivering exceptional service and support. This role involves addressing client inquiries, resolving issues, and ensuring a positive customer experience while maintaining strong relationships. The CSR will also collaborate with internal teams to meet client needs and support overall business objectives.

QUALIFICATIONS AND SKILLS
High school diploma or equivalent. Proven experience in customer service, account management, or client-facing roles. Excellent communication (verbal and written) and interpersonal skills. Strong problem-solving abilities and attention to detail. Ability to multitask and manage time effectively in a fast-paced environment. Proficiency with CRM systems, Microsoft Office Suite, and/or related software. Positive, professional, and client-focused attitude

RESPONSIBILITIES AND DUTIES
Answer incoming calls, emails and resident requests from clients and effectively resolve client inquiries and direct/route inquiries accurately. Resolution of inquiries including but not limited to reviewing owner account information, payment setup, account setup and website navigation, and basic questions related to the HOA. Must demonstrate very high levels of customer service during any customer interaction (e.g., warm, patient, professional and helpful demeanor, and accurate and timely resolution of inquiries). Complete company and community mailings including but not limited to membership mailings, violation and architectural letters, special assessment letters, and newsletters. Ensure all necessary components are within the mailings such as pool keys, envelopes etc. and mailings are sent in a timely, accurate and organized manner. Efficiently generate and mail welcome packets to new homeowners, ensuring all necessary components are included and sent in a timely, accurate, and organized manner. Scan welcome packets as needed. Assist with accurate record updates including but not limited to updating owner contact information in company systems, auditing and uploading community emergency sheets, auditing and uploading community documents, and other records as necessary. Work as a team with other Client Services Representatives and Advance HOA Administrative staff to serve homeowners and community managers together with a positive attitude. Accurately update addendum billings for communities as necessary for the materials they utilize in their mailings. Exhibit flexibility as assigned Client Services tasks change to accommodate volume of responsibilities in a balanced manner. Continue to improve effectiveness and expand expertise over time for executing Client Services duties. Examples include efficiency in resolving an inquiry and taking and referring to training notes such that similar questions are not repeatedly asked of supervisors. Perform miscellaneous office errands and tasks and other duties and errands as assigned. At all times, conduct oneself in a professional, helpful, knowledgeable manner, so as to convey utmost professionalism.

Work will be performed during regular office hours in an office setting. Must have a presentable, professional appearance.
