We're looking for a friendly, organized, detail-oriented professional who enjoys working with people and has a knack for keeping financial details straight. Our Client Services Coordinator will play an important role serving as a helpful, responsive point of contact for our clients' members, sponsors, exhibitors, and event attendees. This is a position for someone who is just as comfortable making a friendly phone call about an outstanding invoice as they are entering payments into an accounting system, sending receipts, or helping someone resolve a billing question. You don't need to be an accountant, but you do need to be comfortable with numbers, understand basic bookkeeping principles, and take pride in getting the details right. What You'll Do Accounts Receivable & Basic Accounting Prepare, issue, and track invoices for membership dues, sponsorships, exhibit booths, event registrations, and other client activities. Record payments, process receipts, and maintain accurate accounts receivable records. Monitor outstanding balances and proactively follow up with members, sponsors, exhibitors, and other customers to facilitate timely payment. Research and resolve billing discrepancies, duplicate payments, credits, and other routine payment questions. Assist with payment posting, deposits, basic reconciliations, and other bookkeeping tasks under the direction of the Director of Finance. Maintain organized financial records and assist with routine accounts receivable reports. Provide general administrative support to the Finance Department as needed. Member, Sponsor & Exhibitor Services Serve as a friendly, knowledgeable point of contact for billing, payment, and account-related inquiries. Communicate professionally by telephone and email with association members, event participants, sponsors, exhibitors, and vendors. Assist customers with invoices, receipts, payment links, account balances, and registration-related financial questions. Follow up on unpaid membership renewals, sponsorship commitments, exhibit fees, and event registrations. Work collaboratively with ADS membership, events, and association management teams to resolve customer issues quickly and accurately. Maintain accurate contact and payment information in client databases and association management systems. Help ensure that every interaction reflects the high level of service our clients expect from ADS. Teamwork & Operations Work closely with the Director of Finance to prioritize daily activities and meet deadlines. Coordinate with other ADS departments to ensure accurate billing and timely collection of revenue. Identify recurring billing or customer service issues and recommend opportunities to improve processes. Maintain confidentiality and handle sensitive financial and customer information responsibly. Pitch in wherever needed to help our growing team succeed. What We're Looking For At least 2 years of experience in customer service, billing, accounts receivable, bookkeeping support, or a related administrative role. Outstanding written and verbal communication skills, with a professional, friendly, and confident telephone manner. Familiarity with basic accounting principles, invoices, payments, and accounts receivable. Experience with QuickBooks Online preferred. Proficiency with Microsoft Excel and common office technology. Strong organizational skills, accuracy, and attention to detail. Ability to manage multiple priorities while providing responsive customer service. A proactive attitude and willingness to follow through until issues are resolved. Comfort learning new technology and working with multiple client accounts and systems. Experience with associations, membership organizations, event registration systems, or CRM platforms is a plus, but not required. The Right Personality Matters! We're looking for someone who genuinely likes people, takes ownership of their work, and understands that even a routine billing question is an opportunity to make a positive impression. You should be comfortable picking up the phone, solving problems, asking questions, learning new things, and working as part of a busy, collaborative team. Above all, we're looking for someone who is dependable, resourceful, upbeat, and committed to doing great work. Position Details This is a part-time, in-office position based at our Farmington, Connecticut office, working Monday through Thursday for five hours each day.
