This position is primarily a back-office, clerical role with a strong emphasis on transaction processing, records management, and documentation oversight. The ideal candidate will excel in a high-volume, process-driven operational environment and demonstrate exceptional accuracy, organization, and consistency in executing administrative tasks. Responsibilities Maintain and update client accounts and records within internal systems, ensuring accuracy, completeness, and regulatory compliance Prepare, review, and process client documentation, including account forms, transfers, and transactions, in accordance with firm and industry standards Perform high-volume data entry and validation, ensuring integrity and accuracy of all client and account information Manage document workflows, including tracking, imaging, indexing, and archiving client records in both electronic and physical formats Conduct detailed reviews of documentation to ensure completeness and adherence to compliance and operational requirements Monitor and follow up on outstanding items to ensure timely processing and resolution of administrative tasks Generate routine operational reports and maintain logs to support internal tracking and audit readiness Collaborate with internal departments, including compliance and operations, to ensure proper handling and processing of all documentation Professionally handle inbound and outbound phone communications, directing inquiries appropriately and providing general assistance as needed Coordinate and schedule appointments for clients and prospective clients, ensuring accurate calendar management and proper documentation preparation Provide administrative support for internal team activities, including document preparation, meeting coordination, and workflow tracking Requirements Strong administrative and clerical skill set with the ability to manage detail-intensive, process-oriented work High level of accuracy and attention to detail, particularly in documentation and transaction processing Familiarity with CRM platforms such as Redtail or similar wealth management systems preferred Professional phone presence and ability to communicate clearly and courteously with clients and internal stakeholders Working knowledge of financial services operations, brokerage, or banking environments is a plus Solid written communication skills for internal documentation and recordkeeping Ability to follow established procedures and maintain strict adherence to regulatory and compliance standards Strong organizational and time management skills with the ability to handle multiple workflows simultaneously Self-motivated with the ability to work both independently and within a team-oriented environment Summary This Client Service Associate role is best suited for individuals who thrive in structured, operations-focused environments and prefer work centered primarily on internal processing, with limited client interaction for scheduling and general support. The position plays a critical role in supporting wealth management operations through accurate documentation, effective transaction processing, and consistent adherence to compliance standards.
