We help individuals and families organize, manage, and plan their financial lives through comprehensive financial planning, investment management, tax services, insurance, and estate planning coordination. We are looking for an experienced Wealth Management Client Service Associate to become an important part of our client service and operations team. Position Overview The Wealth Management Client Service Associate serves as a primary point of contact for our clients while providing operational and administrative support to our financial advisors. This is a critical role within our firm. The right person is organized, responsive, detail-oriented, confident communicating with clients, and comfortable taking ownership of a request from beginning to completion. You don't need to know every answer immediately—but you do need to know how to listen, research, communicate clearly, follow through, and make sure nothing falls through the cracks. This is a client service and wealth management operations position and is not intended to be a pathway to becoming a financial advisor. Because of the collaborative nature of our team and the confidential client information we work with, this is an in-office position in South Windsor, CT. Responsibilities Client Service Serve as a primary point of contact for clients by phone, email, and in person Welcome clients and guests and help create an exceptional client experience Respond to client service requests promptly and professionally Process address, beneficiary, ownership, bank, and other account maintenance requests Coordinate client deposits, withdrawals, distributions, money movement, and bank instructions Research client questions and proactively communicate status and next steps Schedule client meetings and coordinate appointment confirmations and reminders Maintain accurate client information and activity records in Redtail CRM Account Administration & Operations Prepare and process new account applications and account maintenance documentation Assist with account transfers, rollovers, distributions, contributions, and other securities-related operational requests Work directly with our broker/dealer and custodian to resolve account and transaction issues Track outstanding paperwork and follow up with clients and outside institutions as necessary Manage the firm's Required Minimum Distribution (RMD) process Maintain accurate operational logs, records, and documentation Monitor transactions and service requests through completion Advisor & Meeting Support Prepare advisors for client meetings with appropriate reports, account information, forms, planning data, and supporting documentation Assist with meeting preparation and follow-up tasks Coordinate paperwork and implementation resulting from client meetings Help ensure client commitments and advisor follow-up items are completed promptly Client Experience & Team Support Coordinate client gifts, cards, milestone recognition, and appreciation initiatives Assist with client events and educational programs Support referrals and prospective-client follow-up Work closely with advisors, client service, administration, tax, and operations team members Proactively communicate work in progress, outstanding items, and potential issues Assist with firm projects, process improvements, and special initiatives Compliance & Recordkeeping Follow firm, broker/dealer, custodian, and regulatory procedures Maintain accurate and timely client records Assist with required compliance logs and documentation Handle sensitive financial and personal information with a high degree of professionalism and confidentiality What We're Looking For The ideal candidate is someone who takes pride in being the person clients and coworkers can rely on.
