Job Description

Overview We are seeking a dedicated and professional Customer Service Representative to join our dynamic team. In this role, you will serve as the primary point of contact for our clients and customers, providing exceptional support and ensuring their needs are met efficiently and courteously. The ideal candidate will possess strong communication skills, excellent organizational abilities, and a comprehensive understanding of office management and clerical procedures. This position offers an opportunity to contribute to a positive customer experience while supporting the overall operational success of our organization. Duties Respond promptly to customer inquiries via multi-line phone systems, email, and in-person interactions, demonstrating excellent phone etiquette and professionalism. Manage front desk responsibilities, including greeting visitors, handling incoming calls, and directing inquiries appropriately. Utilize computer skills to perform data entry, maintain accurate records, and update customer information using Microsoft Office, Google Workspace, and other relevant software. Support office management tasks such as filing, proofreading documents, scheduling appointments, and calendar management. Assist with billing and bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial records. Provide administrative support by managing office supplies, organizing files, and supporting clerical functions related to customer service. Facilitate effective communication between departments by coordinating schedules and maintaining organizational workflow. Maintain a professional appearance and foster a welcoming environment at the front desk to enhance customer satisfaction. Support additional duties such as medical or dental receptionist tasks if applicable, including appointment scheduling and patient record management. Demonstrate strong organizational skills by prioritizing tasks efficiently to meet deadlines in a fast-paced environment. Experience Prior experience in office management, administrative support, or clerical roles is highly desirable. Proven customer service experience with a focus on client satisfaction and problem resolution. Familiarity with multi-line phone systems, calendar management tools, and data entry procedures. Bilingual abilities are a plus to effectively communicate with diverse client populations. Knowledge of QuickBooks accounting software, bookkeeping practices, or medical/dental receptionist duties is advantageous. Strong computer literacy across Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and general office applications. Excellent organizational skills with the ability to multitask efficiently while maintaining attention to detail. Demonstrated ability to handle sensitive information discreetly with professionalism.
