Job Description

Client Care Coordinator Ormond Beach, FL 32174 From $17.50 an hour - Full-time From $17.50 an hour - Full-time Full-Time | 10-Hour Shifts | Monday-Friday | Rotating Saturdays | Overtime as Needed About the Role As a Client Care Coordinator, you are the first point of contact for our clients and their pets. You will be responsible for creating a welcoming, efficient, and supportive environment while managing a variety of administrative and client service tasks. this role is essential to the smooth operation of our hospital and the high-quality care we provide. Key Responsibilities Client Interaction & Communication Greet clients and patients warmly upon arrival and ensure a positive experience throughout their visit Answer incoming calls using proper phone etiquette, screen and direct calls appropriately Provide accurate information about hospital services, fees, and general pet care Communicate clearly with clients regarding appointments, procedures, medication, and discharge instructions Handle sensitive situations with empathy, professionalism, and discretion Administrative & Clerical Duties Schedule appointments and gather necessary patient and client information Maintain and update patient records, including medical history, lab results, and treatment plans Prepare and process forms such as new client packets, consent forms, and payment agreements Process payments, manage invoices, and reconcile the cash drawer at the beginning and end of each day Send appointment reminders, thank-you notes, and follow up communications Assist with mail handling, supply stocking, and general organization of the reception area Veterinary Support Ensure patients meet hospital requirements for vaccines and testing prior to admittance Relay client concerns and patient symptoms accurately to the veterinary team Assist with prescription pickups and provide basic instructions for at-home care Handle over-the-counter product sales and provide knowledgeable recommendations Submit lab requests and ensure proper handling Technology & Systems Use Cornerstone Practice Management Software (PIMS) to manage appointments, records, billing, and reminders Utilize Microsoft 365 and word processing tools for correspondence and documentation Maintain accurate date entry and ensure timely updates to client and patient accounts Qualifications High school diploma or equivalent required Previous experience in a veterinary or medical office preferred Strong organizational and multitasking skills Excellent verbal and written communication abilities Proficiency with computers and office software Ability to work independently and as part of a team A genuine love for animals and a commitment to client service Physical Requirements Ability to stand and walk for extended periods Frequent use of hands for typing, handling paperwork, and interacting with pets Ability to life up to 50 lbs (occasionally more with assistance) Comfortable working in an environment with animal-related sights, sounds, and smells Why Join Us?
