Job Description

POSITION SUMMARY
The Golf Cart Service Advisor serves as the primary point of contact between customers and the Service Department, responsible for understanding customer concerns, preparing accurate repair orders, communicating with technicians, providing estimates and status updates, and ensuring customers receive professional and timely service. This role takes ownership of the customer's experience from the moment the golf cart arrives until it is returned — communicating clearly, following through on commitments, and working closely with technicians and parts personnel. The ideal candidate is organized, customer-focused, comfortable in a fast-paced environment, and able to balance customer satisfaction with the productivity and profitability of the Service Department.
KEY RESPONSIBILITIES
Greet customers, listen carefully to their concerns, and accurately document requested service, repair, maintenance, or accessory work. Create and manage repair orders from customer check-in through completion, coordinating with technicians to diagnose problems and determine required repairs. Prepare and explain estimates for parts, labor, accessories, and additional recommended repairs; obtain customer authorization before performing any additional work. Keep customers informed throughout the repair process — status updates, delays, parts availability, and expected completion dates — and follow up after pickup to confirm satisfaction. Schedule service appointments and help manage the daily service workload. Work closely with the Parts Department to verify parts availability and order necessary components. Recommend appropriate maintenance, repairs, upgrades, and accessories based on customer needs and vehicle condition. Review completed repair orders for accuracy before customer pickup, and clearly explain completed repairs and charges when the golf cart is returned. Process warranty-related service according to dealership and manufacturer procedures. Maintain accurate customer, vehicle, repair, and service records in the company DMS. Assist with service department organization, cleanliness, and workflow, and help resolve customer concerns professionally and promptly. Support Service Department sales, productivity, customer satisfaction, and profitability goals.
QUALIFICATIONS
Strong customer service and communication skills, with a professional attitude and appearance. Ability to explain technical information in terms customers can easily understand. Good organizational and time-management skills; ability to handle multiple customers and repair orders simultaneously. Basic mechanical knowledge preferred; golf cart, automotive, powersports, motorcycle, marine, or equipment service experience is a plus. Comfortable using computers, point-of-sale systems, service software (DP360 or similar), email, and telephone systems. Ability to work effectively with technicians, parts personnel, sales staff, and management. Valid driver's license preferred.
PHYSICAL REQUIREMENTS
Ability to stand and walk for extended periods, and to work both indoors and outdoors as required. Ability to safely operate golf carts. Ability to occasionally lift and move parts or equipment weighing approximately 25-50 pounds.
PERFORMANCE EXPECTATIONS
Performance is evaluated on customer satisfaction, accuracy of repair orders, communication, service sales, technician workflow, timely completion of repairs, follow-up, and overall contribution to Service Department profitability.
