Job Description

Our client in Weston is seeking a Client Service Associate to support our advisory team. This is the person who makes sure the details get handled correctly, and nothing falls through the cracks after a client meeting. Your primary responsibility is post-meeting follow-through. After each client meeting, you will document what happened, update client records across our systems, create and track the resulting follow-up items, and make sure client files are complete and accurate. You will also serve as backup phone coverage and help prepare for upcoming client meetings. This is not a sales role. You will not be asked to prospect, sell, or bring in business. What You'll Do Post-Meeting Follow-Through Document client meetings in our CRM, including notes, activities, and follow-up tasks Update client information across our planning, CRM, and document management systems following each meeting Track follow-up items through completion and flag anything at risk of slipping Close out client meeting files and maintain accurate document filing Contact clients to request outstanding documents and information Client Service Provide second-line phone coverage, answering client calls when our primary line is occupied Assist with client meeting preparation, including assembling materials and pulling required documents Support tax season by tracking and requesting missing client information from clients General Maintain data accuracy and consistency across all firm systems Assist with new client onboarding and other team projects as needed What We're Looking For Required Two or more years of administrative, client service, or office support experience Exceptional attention to detail, with a track record of getting repetitive work right every time Strong follow-through on multi-step tasks without needing reminders Professional, warm phone manner and clear written communication Comfort learning new software, and solid working knowledge of Microsoft Office Discretion in handling confidential client and financial information Willingness to handle phone coverage as a regular part of the role Preferred Experience at an investment advisory firm, broker-dealer, insurance agency, accounting firm, or law firm CRM experience of any kind Familiarity with document management or scanning workflows
Pay:
$55,000.00 - $62,000.00 per year
