Job Description

Deliver Exceptional Experiences for People and PETS! Veterinary Healthcare Associates (VHA) is seeking a compassionate, service-driven Client Service Representative to join our overnight team. As the first and last impression of our hospital, you play a critical role in creating exceptional experiences for clients, supporting patient care, and helping families navigate every stage of their pet's healthcare journey. Unlike traditional veterinary hospitals, VHA brings General Practice, Emergency, and Specialty Services together on one campus, creating a dynamic environment where exceptional communication, compassion, and teamwork are essential. This role is ideal for someone who thrives in a fast-paced environment, enjoys building meaningful relationships, embraces technology, and is passionate about helping people, pets, and the planet become healthy, happy, and healed. Responsibilities Deliver exceptional client service in person, over the phone, and through digital communication channels Schedule appointments and coordinate patient visits across multiple hospital services Accurately process payments, treatment plans, and client documentation Support clients through routine visits, specialty consultations, and emergency situations with empathy and professionalism Maintain accurate patient and client records Utilize hospital software, communication platforms, and technology tools to support efficiency and client experience Collaborate with veterinarians, technicians, and hospital teams to ensure seamless patient care Resolve client concerns professionally and escalate issues when appropriate Maintain a welcoming, organized, and client-focused reception environment
Required:
Minimum of 2 years of experience in client service, hospitality, healthcare, veterinary medicine, or a similar customer-focused environment Exceptional communication and interpersonal skills Demonstrated ability to remain composed and professional in emotionally charged situations Strong organizational skills and attention to detail Ability to multitask and prioritize effectively in a fast-paced environment Comfort using technology, scheduling platforms, communication systems, and AI-enabled tools Commitment to delivering an exceptional client experience
Preferred:
Veterinary hospital, medical office, or specialty healthcare experience Familiarity with veterinary software platforms and scheduling systems Understanding of veterinary terminology and treatment workflows Bilingual communication skills Why Join VHA?
