Job Description
We are a privately owned, 1.5 doctor veterinary clinic, seeking an experienced Full-Time Client Service Representative (CSR) to join our team. Full-time hours are approximately 34 hours per week, Monday-Friday ONLY;
NO WEEKENDS
! As a CSR, you will be responsible for providing exceptional customer service to our clients and their furry family members. While being the first point of contact for Grace Veterinary Center you will welcome clients and their pets as they come into the clinic. You will coordinate front-desk activities, including answering phone calls, taking call backs for the doctors, making appointments and financially checking out clients. To be successful, you should have a pleasant personality, as this is a highly visible customer service role. Additionally you will assist our Veterinary Assistants with their appointments. You will check clients in as needed, bring them to the treatment area, assist with restraint for miscellaneous services and enter charges as needed. You should be able to deal with emergency situations in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, a CSR's duties and responsibilities are to ensure the front desk welcomes clients positively, and executes all tasks to the highest quality standards.Responsibilities:
Greet and welcome clients and their pets as soon as they arrive at the clinic. Checking in clients and their pets with professionalism. Direct clients to exam rooms and/or escort pets to the treatment area. Answer phone calls, schedule appointments, and respond to client inquiries. Ensure reception area is clean and presentable, with all necessary stationery and material (e.g. pens, forms and brochures). Provide basic and accurate information in-person and via phone/email. Maintain accurate patient records. Receive, sort and distribute daily mail/deliveries. Maintain office security by following safety procedures and controlling access via the reception desk. Process payments and handle financial transactions. Perform other clerical reception duties such as filing, photocopying, scanning, transcribing and emailing.Skills:
Proven work experience in Customer Service as a Front Office Representative or similar role. Proficiency in Microsoft Office. Knowledge of veterinary medicine is a definite plus. Knowledge of Covetrus Pulse practice management software is desirable. Hands-on experience with office equipment (e.g. computer, scanning machines and printers). Display confidence, while maintaining a professional attitude and appearance. Excellent communication skills with clients, DVMs and other team members. Ability to be resourceful and proactive when issues arise. Excellent attention to detail and organizational skills. Demonstrate multitasking and time-management skills with the ability to prioritize tasks.Qualifications:
High school diploma. Previous experience in a veterinary clinic or other animal care facility is preferred. Additional certification in Office Management is a plus.Benefits:
