Veterinarian Position Summary Mackenzie's Veterinary Services is seeking a compassionate, detail-oriented Customer Service Representative (CSR) to join our small animal clinic team. Mackenzie's Veterinary Services is a new small animal clinic located in Olney, IL. As the first and last point of contact, you will play a critical role in shaping our client experience. You will manage communications, schedule appointments, and support pet owners during both joyful and difficult moments, ensuring every pet and owner feels valued. Illinois Credentiality Requirement As an uncredentialed team member under the Illinois Veterinary Medicine and Surgery Practice Act, the CSR must adhere to professional boundaries to ensure patient safety and state compliance.
Medical Advice:
CSRs may never give medical advice, diagnose conditions, or prescribe treatments
Information Delivery:
CSRs may only relay medical information or lab results directly authorized by a
DVM Clinical Limitations:
CSRs are prohibited from performing clinical tasks like giving injections or drawing blood
Patient Records:
All communication, prescription requests, and client interactions must be logged accurately in electronic charts Key Responsibilities Client Communication Greet clients and patients warmly upon arrival Answer multi-line phone systems efficiently Respond promptly to emails and text messages Educate clients on basic pet wellness, preventative medications, and services offered Provide updates on hospitalized patients gently Administrative Duties Schedule appointments and surgeries accurately Check clients in and out smoothly Process payments and manage daily invoices Maintain accurate electronic medical records (EMR) Manage prescription refill requests with accuracy Clinic Care & Support Maintain a clean, organized reception area Comfort distressed or grieving pet owners compassionately Coordinate with veterinary technicians and doctors Manage patient traffic to minimize wait times Alert team members of emergency situations in lobby or over the phone
Administrative & Community Involvement:
: Lead discussion of staff meetings biannually with topics of your choice Attend and participate in elementary, middle, or high school discussions or labs in forms of lunch discussion, with local organizations (FFA, ILFB, 4H), or attending a meeting Attend a "2-day summer camp" for young people over a weekend Be an MVS representative at community events, including Richland County Fair Auction and FFA Customer Appreciation Lunch during FFA Week Assist the veterinary technician with photo booth section in the clinic Attend the open house and "soft launch" for MVS Assist the veterinary technician with daily facebook posts and involvement Qualifications & Skills Required High school diploma or equivalent Minimum 1 year of customer service experience Excellent verbal and written communication skills Ability to multitask in fast-paced environments Basic computer literacy and typing skills Preferred Previous veterinary or medical receptionist experience Knowledge of veterinary terminology and vaccines Experience with veterinary practice management software Physical & Emotional Requirements Ability to stand or sit for extended periods Ability to lift up to 30 pounds occasionally Emotional resilience to handle stressful veterinary situations Compensation and Benefits Competitive salary wage Employee pet discount Health, dental, and vision insurance Paid time off and holiday pay Opportunities for professional growth
