Job Overview We are seeking a dynamic and highly organized Client Service Coordinator to join our team! In this vital role, you will serve as the primary point of contact for clients, ensuring their needs are met with professionalism, efficiency, and a friendly attitude. Responsibilities Greet clients and visitors at the front desk with a warm, professional demeanor while managing multi-line phone systems and scheduling appointments. Handle incoming calls with excellent phone etiquette, providing prompt assistance or directing calls to the appropriate team members. Manage calendar appointments, coordinate meetings, and ensure timely follow-up for client inquiries or requests. Maintain accurate records through data entry, filing, and updating client information using software tools such as Microsoft Office, Google Workspace, and QuickBooks. Support office management tasks including bookkeeping, invoicing, proofing documents, and organizing files for easy retrieval. Assist with clerical duties such as typing correspondence, proofreading documents, and managing office supplies to ensure smooth daily operations. Provide exceptional customer support by addressing client questions or concerns promptly and professionally while maintaining confidentiality. Additional duties as needed to support staff. Strong organizational skills with the ability to prioritize tasks effectively in a busy environment. Excellent communication skills—both verbal and written—with an emphasis on professional phone etiquette. Experience with office management systems such as QuickBooks or similar bookkeeping software is preferred. Previous office experience including clerical work or administrative support is highly desirable. Familiarity with multi-line phone systems, data entry, filing procedures, and calendar management tools. Demonstrated ability to handle confidential information discreetly while providing outstanding customer service.
