Job Description

Job Profile The Client Services Coordinator is responsible for providing professional customer service while coordinating the receipt, handling, shipment, and documentation of environmental samples. This position supports clients, couriers, and internal team members to ensure samples and related materials are handled accurately, efficiently, and in accordance with established Chain of Custody procedures. The ideal candidate is organized, detail-oriented, professional, and customer-focused, with the ability to manage multiple priorities in a fast-paced environmental laboratory setting. Essential Responsibilities Client Service & Communication Respond to client inquiries by telephone, email, and in person in a professional, courteous, and timely manner. Provide excellent customer service to clients, vendors, couriers, and RI Analytical team members. Maintain clear and professional communication in all interactions. Communicate questions, issues, or concerns to Project Management in a timely manner. Sample & Chain of Custody Coordination Receive environmental samples, payments, and associated documentation from clients, couriers, and field personnel. Review and handle samples in accordance with established Chain of Custody procedures and company protocols. Ensure sample documentation is complete, accurate, and properly maintained. Prepare mid-day and evening/night sample deliveries for couriers transporting samples to the Warwick facility. Bottle Orders & Inventory Prepare sample bottle orders based on Chain of Custody forms, schedules, quotes, and client request forms. Maintain adequate bottle inventory and monitor stock levels. Communicate bottle and supply needs to the Facilities Technician as needed. Ensure bottle orders are prepared accurately and available according to client and project requirements. Workplace Organization & Safety Maintain a clean, organized, and functional work environment. Follow established company procedures and protocols for the handling, documentation, transportation, and shipment of environmental samples. Promote a professional and efficient workplace through attention to organization and detail. Qualifications & Skills Excellent customer service and communication skills. Strong attention to detail and organizational skills. Ability to manage multiple tasks and changing priorities effectively. Ability to work independently while also functioning effectively as part of a team. Previous experience in environmental services, laboratory operations, logistics, customer service, or a related field is preferred. Familiarity with Chain of Custody procedures and environmental sample handling is a plus. Education Requirement and Prior Work Experience High School Diploma or equivalent. Familiar with Microsoft Office 365 (MS Word, Excel, Teams). Professional written and verbal communication skills. Proficient in the English Language. Must be flexible and able to adjust and adapt to a changing work environment. This role routinely uses standard office equipment such as computers, telephones, and photocopiers. This role routinely handles laboratory samples and bottle ware which includes handling chemical preservatives and full coolers weighing up to 50lbs. Background Checks Rhode Island Analytical, Inc., may perform a thorough background check of its employees, including a Consent Based Social Security Number Verification (CBSV), and a criminal history background check. Employees will be asked to sign an acknowledgement of this background check at the start of the process.
