An Automotive Customer Service Representative greets customers and responds to customer inquiries at an automotive dealership or service business. Provides customers with repair estimates and manages paperwork. May schedule car rentals. Makes calls to schedule sales appointments and follow-up with customers. Keeps records of customer communications and transactions.
The Internal Service Advisor is responsible for managing all internal repair orders, used car reconditioning, lot damage, wholesale vehicles, company vehicles, and oversight of the dealership's loaner fleet. This role ensures internal vehicles are processed efficiently, accurately documented, and completed on time to support inventory turn, customer satisfaction, and dealership profitability.
Core Responsibilities:
Internal Repair Order Management Open and manage all internal repair orders (Used Car, New Car, Wholesale, Employee vehicles as directed). Accurately document complaints, technician findings, and completed repairs. Ensure labor operations and parts are billed correctly to the appropriate internal account. Monitor internal RO progress daily to ensure timely completion. Used Vehicle Reconditioning Coordinate with Used Car Manager on recon needs and deadlines. Ensure required inspections and safety checks are completed. Prioritize work based on inventory turn objectives. Communicate delays immediately.
Loaner / Courtesy
Vehicle Fleet Management Track availability and daily status of all loaner vehicles. Ensure loaners are properly documented with active ROs when in service. Schedule maintenance and repairs proactively. Monitor mileage and program compliance. Document and report damage immediately. Maintain fleet readiness (cleanliness, fuel, condition). Minimize downtime and maximize availability. Parts & Technician Coordination Dispatch work in coordination with Shop Foreman. Confirm parts availability before scheduling. Track special-order parts and backorders. Ensure technicians properly document inspections and recommendations. Quality Control & Documentation Verify completed work meets dealership and manufacturer standards. Ensure inspection sheets and documentation are attached. Maintain compliance with warranty and internal policy guidelines. Communication Provide daily updates to Service Manager and Used Car Manager. Escalate delays, parts issues, or capacity constraints immediately. Maintain professional cross-department communication. Performance Expectations Meet internal RO cycle time targets. Maintain recon turnaround goals. Maintain maximum loaner fleet availability. Ensure billing and documentation accuracy. Support overall service department productivity and profitability.
Service Advisor Qualifications:
5+ years prior experience in a similar position preferred Displays superior customer relationship and interpersonal skills and maintains strong focus on customer satisfaction Maintains core knowledge of products and product updates Possesses excellent verbal and written communication skills Meets deadlines, prioritizes assignments, and multi-tasks under pressure Demonstrates a high work ethic and exhibits professional and acceptable behaviors at all times Is self-motivated, organized, detail oriented, and success driven Completes assigned tasks promptly and efficiently Is team-oriented with a desire to achieve both individual and collective goals Maintains professional appearance and positive, high energy presence Understands and complies with federal, state and local regulations Holds valid driver's license Warranty Admin Experience A+!!!!
