DEPARTMENTAL FOCUS
Client relations/administrative assistant
- Customer Service and Response, addressing customer needs, whether in person or by phone.
- Help to complete special projects and assignments by establishing and/or meeting objectives as required by upper management.
- Maintain good organization and prompt fulfillment of all business records.
- Ability to manage office calendar for multiple offices and advisors.
- Preparing the following day appointments. Managing office calendar for several producers. This is an essential role to ensure success during the sales process and will require reliable, accurate fulfillment. Additional training in the first 90 days to 6 months to include:
- Managing year-round maintenance for our clients by scheduling activities to send out correspondence reminder letters, annual review postcards, and birthday cards. Utilize workflows in our client relationship platform (CRM) to schedule these actions timely and with accuracy.
- Assist with drafting and review business correspondence.
ASSIST MANAGER WITH
: Client review prep-work, this includes downloading and prepping annual statements, updating money tracking reports, and preparing documents for signatures. A financial background is a plus for this position.- Financial Accuracy, Attention to detail, and efficiency are essential to this role.
- Expand personal job knowledge by participating in educational opportunities. Cross Trained
- Team Support Duties. Event experience a plus but not required Training will be provided for all:
- Back-office support for corporate functions such as preparing materials for sales seminars and client events. Includes but not limited to mail fulfillment, communications with guests both pre and post event, printing and stuffing packets, adding & updating records in our CRM, and any other tasks as required by the event manager.
- Assist Events Manager with live seminars to include week ahead and/or day before calls. Attending events as needed to provide support. Scheduling appointments, calendar management, tracking attendance, and supporting future sales opportunities.
- Assist sales & marketing efforts with digital & printed marketing campaigns, call campaigns, and activities as needed.
- Working evening workshops
- At least 4-6 evenings per month (out of the office)
- Assist with managing Webinars
- All processes.
Includes registration, reminders, week ahead and/or day before calls, working as webinar moderator, managing attendees, providing technical support, collecting and reviewing response sheets, scheduling appointments, sending gift cards, and tracking attendees/steps/functions in our CRM.
Job Requirements:
Proven work experience in an account services, secretarial, or administrative assistant role, in an office setting Proficient in Microsoft office (Word, Excel, and Outlook) Type at a moderate/fast speed with accuracy Clear and effective written and verbal communication skills (handwriting, grammar, speech) Maintain a high level of professionalism (behavior and appearance) Preferably possess a college degree High school diploma required Holds a license in Life Insurance or Life and Health Insurance is a plus. If not, company will assist in obtaining that license. Licensing must be obtained within the 90 day probationary period.
