Job Description

The Support Services Representative is responsible for providing general office management, clerical, and administrative functions. Specific areas of responsibility include, but are not limited to, scheduling appointments, facilitate getting consumers to the appropriate WMCMH staff member, including our Behavioral Health Urgent Care (BHUC), perform receptionist duties, including assisting consumers in the WMCMH intake process, assisting consumers in completing required annual paperwork, assist consumers during check-in and check-out, obtaining signatures, responsible for opening and closing office, turning office equipment on in the morning and off in evenings, ensuring office equipment is in working order, and reception area is maintained. Entering consumer data in a variety of WMCMH computer modules; perform clinical record functions such as processing, scanning/indexing, routing and releasing clinical documentation; releasing of information; completing timely correspondence; anticipating needs and assisting the clinical team(s). Assisting with administrative duties and troubleshooting administrative issues; and providing back-up as needed across all Support Services Representatives. The key competencies needed for the Support Services Representative include strong secretarial, office management, data, computer, support of customer relations, patient care and office business services, planning/organizing/prioritizing, communication, and time management skills. The individual in this position must also promote and ensure confidentiality for all WMCMH consumers, be able to multitask and, also possess computer, typing, grammar, punctuation, proofreading, transcription, multi-line phone, and strong team and collaboration skills. This person must pay strong attention to detail to ensure a high level of accuracy and be self-directed, flexible, and adaptable to change, solution-focused and able to exercise sound independent decision-making and judgment - all while providing excellent internal and external customer service. The individual in this position must exhibit the ability to maintain composure when interacting with staff, consumers, and stakeholders. The employee will complete all other administrative tasks as needed in various program and administrative areas assigned by supervisor. This position is assigned to a base primary location with routine travel to other sites based on consumer or agency needs.
