Job Description

Position Summary S.M. Hentges & Sons is seeking a highly organized and detail-oriented Service Writer to support our heavy civil construction equipment fleet. This role serves as the communication hub between equipment operators, field personnel, mechanics, vendors, and management to ensure timely repairs, preventive maintenance, and maximum equipment uptime.
Key Responsibilities:
Create, manage, and close repair work orders for heavy equipment and trucks. Coordinate repair schedules with mechanics, shop personnel, and field supervisors. Communicate equipment issues between operators, technicians, and management. Track preventive maintenance schedules and ensure timely service completion. Order and coordinate parts with vendors and suppliers. Maintain accurate service records, maintenance histories, and equipment files. Review repair invoices and verify labor, parts, and service costs. Monitor equipment downtime and assist in identifying recurring maintenance issues. Assist with warranty claims and vendor service coordination. Support fleet compliance and documentation requirements.
Qualifications:
Previous experience as a Service Writer, Fleet Coordinator, Maintenance Coordinator, or similar role preferred. Knowledge of heavy civil construction equipment, trucks, and diesel-powered machinery. Strong organizational and communication skills. Ability to prioritize multiple tasks in a fast-paced environment. Experience with maintenance management software and Microsoft Office. Understanding of preventive maintenance programs and repair processes. Preferred Experience Heavy civil construction industry experience. Familiarity with Caterpillar, John Deere, Komatsu, Volvo, Kenworth, Peterbilt, or similar equipment. Experience with fleet management software.
