Job Description
We are seeking a compassionate, organized, and service-driven Client Service Representative (CSR) to join our team. As the first and last point of contact for our clients, you play a vital role in shaping each client and patient experience. - Supporting our team through learning and professional growth What You'll Do Client Experience & Front Desk Operations Greet clients and patients warmly and professionally Maintain an organized, welcoming front desk environment Verify and update client and patient information Ensure a positive experience from check-in to check-out Scheduling & Communication Schedule and manage appointments efficiently Answer phones, emails, and texts with professionalism and urgency Identify urgent or emergency situations and escalate appropriately Communicate clearly with clients and medical team members Patient Intake & Workflow Support Confirm visit details and obtain necessary consents Enter accurate notes and updates into the practice management system Notify medical staff promptly of patient arrivals Client Follow-Up & Support Follow up after procedures or visits to check on patients Relay instructions and answer client questions Ensure clients feel informed and supported Billing & Financial Responsibilities Review invoices for accuracy Explain services and charges clearly Process payments and provide receipts Follow hospital financial policies and maintain accurate records Administrative & End-of-Day Duties Reconcile cash drawer and prepare daily reports Assist with shift transitions and communication Complete closing procedures as assigned What We're Looking For Core Skills & Qualities Strong communication and interpersonal skills Excellent organization and attention to detail Ability to multitask in a fast-paced environment Professional, positive, and empathetic demeanor Reliable, punctual, and team-oriented Strong problem-solving skills and sound judgment Bonus (but not required) Experience in a veterinary clinic or medical office Familiarity with practice management systems (AviMark is a plus) What Success Looks Like Clients feel welcomed, informed, and cared for at every visit Appointments are scheduled accurately and efficiently Communication is clear, timely, and professional The front desk runs smoothly•even during busy times The medical team is supported through strong communication and workflow coordination Why Join Us?
