Job Description

Searching for someone to join our team who exhibits professionalism, a warm personality, and is energized by encouraging customers through detailed processes. Superior organization, ability to write formally, and comfort working with strangers are important qualities. This work is often fast-paced with opportunities to learn new things.
Minimum requirements:
Qualified to obtain notary public commission; Bachelor degree with at least three years of work experience in any field OR an Associate's degree with at least three years work experience in comparable roles.
Schedule:
Minimum 31 hours per week; Regular office hours 9 am-5 pm on Monday-Thursday and 9 am-1 pm on Friday.
Position summary:
Represents the firm with integrity and compassion during client and potential client interactions, facilitates successful client intake, and assists with broader office goals and projects.
Typical responsibilities:
Answers and manages telephone calls and emails. Explains firm services, procedures, and pricing. Manages firm calendar. Opens and closes the office. Welcomes clients and visitors. Facilitates client intake, engagement, and payments to the firm, including regular follow-up. Drafts cover letters and other documents as directed. Notarizes and/or witnesses documents as needed. Opens and maintains client files.
Performs various tasks with documents:
print, organize, scan, redact, mail, and/or fax. Performs accounting or bookkeeping tasks as assigned (training provided). Works with QuickBooks (training provided), Microsoft Office, Calendly, and Google Calendar. Supports other departments within the firm as requested. Performs light office cleaning.
