Job Description

Overview:
The Customer Service Specialist is responsible for overseeing the customer journey, coordinating with internal stakeholders such as Sales, IT, and Finance, and providing seamless support to ensure customer satisfaction. This position will handle customer orders from entry to invoicing, offering exceptional customer service aligned with company mission and values
Responsibilities:
  • Maintain accurate and up-to-date customer and product master data to support efficient order processing, invoicing, and international transactions.
  • Process customer orders received via email, fax, and EDI systems, ensuring accuracy of items, pricing, quantities, delivery dates, and applicable trade terms.
  • Respond promptly to customer inquiries, requests, and complaints, ensuring timely resolution and a high level of customer satisfaction.
  • Coordinate with internal departments including Sales, Accounting, Logistics, Manufacturing, and Quality to ensure smooth order fulfillment and issue resolution.
  • Prepare and submit monthly commission reports for brokers, ensuring accuracy and timely approval.
  • Organize and coordinate the shipment of product samples in accordance with Account Manager instructions and shipping requirements.
  • Prepare export documentation, including commercial invoices, packing lists, and certificates, ensuring compliance with international trade regulations.
  • Support import/export activities by liaising with international factories, freight forwarders, and monitoring shipment status as needed.
  • Assist with accounts receivable by following up on outstanding invoices and supporting collection efforts.
  • Maintain organized records and archives of customer orders, shipping documents, and related files.
  • Identify opportunities for continuous improvement in customer service and order management processes.
  • Perform other duties as assigned by the supervisor.
Education and Experience:
Fluent in English; French is a plus. 3-5 years of Customer Service experience required. Previous experience in Consumer Packaged Goods (CPG) is preferred. Bachelor's degree or equivalent work experience required. Experience with ERP systems is a plus. Proven work experience in operations, manufacturing, or pharmaceutical environments, preferably within the food industry. Strong written and verbal communication skills, including active listening abilities. Strong attention to detail with a proactive approach to handling customer requests. Service-oriented mindset with the ability to resolve customer issues effectively and professionally. Proficient in Microsoft Office Suite and able to quickly learn new software systems. Ability to thrive in a fast-paced environment while managing multiple priorities simultaneously.

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds occasionally.
