Position Summary The Client Services Specialist serves as the welcoming face and first point of contact for children, families, referral sources, and community partners across Aprendamos Family of Services. This role is responsible for creating an exceptional client experience by coordinating front office operations, managing incoming referrals and communications, scheduling appointments, maintaining accurate client records, and providing administrative support to program staff. The ideal candidate is highly organized, customer-service oriented, bilingual in English and Spanish, and thrives in a fast-paced environment where attention to detail and compassion are equally important. What You'll Do Client & Family Experience Welcome clients, families, and visitors in a professional and compassionate manner. Assist families with intake paperwork and answer general questions regarding services. Check clients in for appointments and collect applicable copayments. Serve as a primary point of contact for incoming phone calls, emails, and office inquiries. Schedule appointments and communicate appointment updates with providers and families. Referral & Administrative Support Receive, process, and track incoming referrals. Maintain and update referral and interested party tracking lists. Ensure client records and documentation are complete, organized, and accurately maintained. Process incoming mail, faxes, and electronic communications. Support providers by communicating upcoming appointments and administrative needs. Perform general administrative and clerical duties while meeting department deadlines. Office Operations Maintain office filing systems and confidential records. Monitor office supply inventory and place orders as needed. Support efficient day-to-day office operations. Assist with additional administrative projects and duties as assigned. What We're Looking For Required Qualifications High school diploma or equivalent required. Minimum 3 years of experience working at a front desk Bilingual in English and Spanish is required. Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Microsoft Teams. Strong organizational, communication, and customer service skills. Ability to manage multiple priorities while maintaining accuracy and professionalism. Ability to exercise sound judgment and work independently with minimal supervision. Comfortable adapting to changing priorities and processes. Preferred Qualifications Experience working in a healthcare, therapy, behavioral health, or human services setting. Experience with electronic health records (EHR), scheduling systems, or medical office operations. Knowledge of insurance verification, referrals, or patient registration processes. Physical Requirements Ability to occasionally lift and carry items weighing up to 40 pounds. Ability to stand, walk, bend, kneel, crouch, and reach throughout the workday. Ability to move throughout the office while assisting clients and staff. Ability to perform repetitive computer and administrative tasks.
