Job Description

An Astoria-based General Contracting company is seeking a highly organized and detail-oriented Client Services Liaison to support the Client Services Manager with daily administrative and operations functions of the Client Services department. In this role, the Client Services Liaison will assist with client and stakeholder coordination, warranty and post-construction management, inspection and site work, project closeout, documentation and reporting, compliance and financial document tracking, and database maintenance. Responsibilities include, but are not limited to: Client & Stakeholder Coordination Serve as the primary liaison between clients, property management teams, ownership representatives, internal consultants, and subcontractors. Schedule site visits, inspections, walkthroughs, and corrective work with building representatives and trade partners. Coordinate emergency service calls and follow up to ensure timely resolution. Prepare client's spreadsheets summarizing project status, open issues, corrective actions, and completion schedules. Warranty & Post-Construction Management Manage post-construction warranty requests and service tickets from receipt through resolution. Coordinate subcontractors, vendors, and service providers to address building deficiencies, repairs, and warranty-related issues and/or Change Orders. Track, document, and report the status of open warranty items across multiple active projects. Review field conditions and assist in identifying responsible subcontractors for corrective work. Review proposals, change orders, and invoices related to warranty and corrective work. Inspection & Site Work Coordinate pre-development work such as test pit, asbestos inspection, and probes. Perform site inspection and on-site supervision as needed. Monitor outstanding inspections, punch list items, and commissioning-related issues through project completion. Collect and review workforce employee evaluations from site teams. Grade and review evaluations. Input evaluation scores into the master tracking spreadsheet. Project Closeout Manage project closeout deliverables including Operations & Maintenance Manuals, as-built documentation, warranties, training videos, and turnover packages. Assist with the collection, review, and distribution of closeout documents from subcontractors and vendors. Track compliance-related requirements including DOB, FDNY, DEP, DOT, HPD, and other agency-related closeout obligations. Support turnover of newly completed buildings and ensure all contractual closeout obligations are fulfilled. Documentation & Reporting Prepare and maintain detailed logs, service records, meeting minutes, and client correspondence. Maintain and organize project documentation within Procore, SharePoint, and other project management platforms. Organize and maintain workforce employee files. Separate existing records and ensure they are properly stored in employee folders. Create and maintain digital files for all workforce employees. Update tracking spreadsheets and ensure records remain current. Contracts, Compliance & Financial Administration Prepare new Short Form Agreements, issue change orders and invoices as needed. Work closely with the Risk Management and Legal department to ensure that jobsites are in compliance with our policies and that subcontractors are allowed to work. Prepare and maintain detailed logs, service records, meeting minutes, and client correspondence. Maintain and organize project documentation within Procore, SharePoint, and other project management platforms. Database Certificate Updates Enter and update training certificates for all employees. Maintain accurate certification records in the database. Run monthly compliance reports to verify employees remain up to date with required certifications. Knowledge, Skills, and Abilities Excellent communication skills (both verbal and written) Punctual; be on time Ability to work independently and self-starter, as well as a 'get it done' attitude Proactive and must have problem solving skills Excellent computer skills (typing, spreadsheets, word processing and emails) Proficiency in Microsoft Office (Word, Excel, Powerpoint) Professional and be able to work with various stakeholders Great organization skills
