Full Job Description Job Description:
Client Service Representative Job duties and responsibilities may change on a temporary or regular basis according to the needs of your department/location and if so, you will be required to perform such additional duties and responsibilities. If you have any questions about any job duties not specified on this job description that you are asked to perform, you should discuss them with your immediate supervisor.
Essential Duties Client Service:
  • Maintain a well-stocked facility assisting with inventory management and shopping, as needed. Ensure the facility remains clean, organized, and prepared for scheduled sessions. Familiarity with all A/V equipment Welcome and sign in clients upon arrival. Coordinate and place food orders based on client specifications.
  • Accommodate client needs and onsite requests, including shopping and food order pickup, as needed.
Serve food and beverages to clients, ensuring their needs are met throughout their visit. Set up rooms according to client requirements and preferences. Keep client contacts informed on respondent show rates and any updates related to rescreening progress. Follow up with respondents who have not arrived within 15 minutes of their scheduled time. Check in respondents upon arrival and manage the sign-in process efficiently, including any client specific duties. Engage with respondents by facilitating early bird drawings, collecting pre-study homework, obtaining consent signatures (via DocuSign or in person), and administering/rescreening as required. Escort respondents to study rooms and handle respondent dismissal as needed. Initiate recordings and verify proper functionality. Monitor the front desk display to ensure a clear and stable picture. Assist clients with troubleshooting any technical issues either during the research or with recordings post-research. Reset the room between sessions, ensuring all furniture, equipment, and materials are organized and prepared for the next respondent, in a timely manner. Clean and restock rooms after clients have left.
Reception:
  • Answer inbound calls promptly and professionally.
  • Transfer calls to the appropriate department or individual.
  • Take and relay messages when the intended recipient is unavailable.
  • Perform general office duties, including filing, document handling, and other administrative tasks.
  • Execute front desk paperwork.
  • Process receipts.
  • Maintain the office kitchen by ensuring cleanliness, turning off the coffee pot, and disposing of leftovers or expired food monthly.
  • Load paper and troubleshoot basic issues with the office printers.
Performance and Production:
  • Maintain open communication with the management team regarding project-related concerns and challenges.
  • Respond promptly to emails and phone calls from management, ensuring timely follow-up on any questions or requests.
  • Acknowledge and respond to emails and voicemails within 30 minutes, even if only to confirm receipt and understanding.
  • Stay up to date on new projects, protocols, and procedures to ensure efficiency and accuracy.
  • Support project success by managing incoming calls when necessary.
  • Adherence to company dress codes with an emphasis on business casual attire when clients are in the facility.

Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience High school diploma or general education degree (GED); or three months related experience and/or training; or equivalent combination of education and experience. Language Skills Ability to read and interpret documents such as safety rules, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees of organization. Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Computer Skills To perform this job successfully, an individual must have knowledge of
Microsoft Office Suite:
Excel, Word, and Outlook Mail. Must have basic computer knowledge of troubleshooting.
