Job Overview The Client Associate plays a vital role in delivering an exceptional client experience by providing personalized service, individualized attention, and ongoing support to each client. Serving as a key liaison between clients and financial advisors, this position helps foster strong, long-term relationships built on trust, responsiveness, and professionalism. The Client Associate is instrumental in ensuring that advisors can effectively leverage their time by managing client service requests, coordinating administrative and operational activities, and proactively addressing client needs. This role requires a high level of customer service excellence, organization, and attention to detail. The Client Associate utilizes strong communication, problem-solving, and relationship management skills to confidently respond to client inquiries, provide accurate information, and educate clients on products, services, and processes. By anticipating needs, resolving issues efficiently, and maintaining a client-focused approach, the Client Associate helps ensure a seamless and positive experience throughout every stage of the client relationship. The position demands professionalism, discretion, and a commitment to delivering timely, accurate, and effective service while supporting the overall goals and success of the advisory team. Preferred but not Required. Bachelor's degree in finance, accounting or something related. 2+ years of experience in the financial services industry. Key Responsibilities:
Serve as the primary point of contact for clients, delivering exceptional customer service and ensuring a positive client experience. Support Financial Advisors by preparing for and coordinating client meetings, including scheduling appointments, preparing agendas, gathering documentation, and following up on action items. Maintain regular communication with clients to address inquiries, resolve issues, and provide timely updates on account activity, services, and requests. Prepare, process, and manage client paperwork, forms, account documentation, and service requests while ensuring accuracy and compliance with firm policies. Assist clients with account maintenance, onboarding, transfers, beneficiary updates, and other administrative needs. Identify client needs and coordinate appropriate services and solutions in collaboration with advisors and internal departments. Maintain accurate and up-to-date client records within the CRM database, ensuring all client interactions, notes, and account information are properly documented. Utilize Microsoft Outlook to manage calendars, schedule meetings, coordinate communications, and maintain effective workflow management. Create, edit, and format professional correspondence, reports, and client communications using Microsoft Word. Prepare spreadsheets, organize data, track client information, and generate reports using Microsoft Excel. Develop presentations and meeting materials using Microsoft PowerPoint to support client reviews, educational sessions, and advisor presentations. Monitor and prioritize multiple tasks, deadlines, and client requests while maintaining a high level of organization and attention to detail. Communicate professionally and effectively with clients, advisors, custodians, and internal team members through phone, email, and in-person interactions. Resolve client concerns promptly and proactively while maintaining a client-focused and solution-oriented approach. Assist with office operations, workflow management, and process improvement initiatives to enhance team efficiency and productivity. Ensure confidentiality of client information and maintain compliance with regulatory, company, and industry standards. Support business development efforts by helping coordinate client events, seminars, client outreach initiatives, and relationship management activities. Demonstrate strong organizational, communication, time management, and problem-solving skills while contributing to the overall success of the advisory team.
