Job Description

Do you thrive in a fast-paced environment, stay organized under pressure, enjoy working with both people and dogs, and take pride in creating an exceptional guest experience? K9 Resorts of Bethlehem is seeking a confident, reliable, and highly organized Client Services Coordinator to join our luxury pet-care team. In this role, you will be one of the first and most important points of contact for our pet parents. You will help create a smooth, welcoming, professional experience from the first phone call through daycare drop-off, boarding check-in, checkout, facility tour, and follow-up. This is not a basic receptionist position. The right person is detail-oriented, comfortable using technology, able to handle multiple priorities, communicates professionally, and takes ownership of solving problems. You will work closely with pet-care and leadership teams to ensure every dog receives accurate, safe, and personalized service and every pet parent leaves feeling confident in their dog's care. What you'll do Welcome pet parents and their dogs with warmth, professionalism, and confidence. Manage a busy front desk, including in-person guests, phone calls, emails, messages, and reservation requests. Complete accurate daycare and boarding check-ins and check-outs; verify required records; collect payments; and maintain organized client accounts. Build and adjust reservations, explain available services and accommodations, and recommend appropriate services based on each pet's needs. Conduct professional, informative facility tours for prospective pet parents, clearly explaining K9 Resorts' services, safety procedures, accommodations, policies, and the value of our luxury pet-care experience. Confidently answer tour questions, identify each prospective client's needs, and help convert tour guests into daycare, boarding, or grooming clients. Safely handle dogs as needed during the workday, including properly leashing, escorting, transferring, and supervising dogs in accordance with company safety standards. Assist with safe dog transitions between the lobby, daycare areas, boarding accommodations, and other designated areas of the resort. Follow established dog-handling procedures, including maintaining control of dogs, using appropriate equipment, reading dog body language, and promptly communicating behavioral or safety concerns to leadership. Maintain accurate pet and client information in our reservation and pet-care software. Communicate important pet details, owner instructions, room assignments, feeding information, medication needs, and special requests clearly to the pet-care team. Resolve client questions and concerns calmly, professionally, and promptly; involve management when appropriate. Help maintain a clean, organized, polished lobby and front-office environment. Follow all company procedures related to pet safety, sanitation, payments, privacy, and client communication. Support sales and retention by confidently educating pet parents about daycare, boarding, packages, memberships, and additional services. Step in where needed to support the team during high-volume periods, holidays, weekends, and peak boarding seasons. What type of candidate would be a strong fit: We are looking for someone who is dependable, polished, kind, and able to maintain accuracy even when the lobby is busy, the phone is ringing, and dogs are arriving or departing. You may be a great fit if you: Have previous experience in customer service, restaurant, hospitality, front desk, reservations, retail, medical/dental reception, veterinary reception, pet care, or a similarly fast-paced service environment. Are comfortable and confident interacting with dogs of different sizes, breeds, ages, activity levels, and temperaments. Can safely leash, walk, and transfer dogs while remaining attentive to pet and human safety. Understand that dog handling requires patience, awareness, sound judgment, and consistent adherence to safety procedures. Enjoy meeting new people and can comfortably lead a professional facility tour without sounding scripted or overly sales-focused. Communicate clearly and professionally in person, by phone, and in writing. Can confidently manage several tasks at once without losing attention to detail.
Are proactive:
you notice what needs to be done, follow through, and do not wait to be reminded of every task. Handle difficult conversations with patience, professionalism, and sound judgment. Can work a schedule that includes weekends, holidays, and peak pet-care periods (ie. summer). Minimum qualifications At least 18 years old. High school diploma or equivalent.
