The CSR is the first and last point of contact for our clients and plays a critical role in creating positive, lasting impressions while ensuring smooth clinic operations. This role combines customer service, clerical responsibilities, scheduling, and financial transactions in a fast-paced veterinary environment. The ideal candidate thrives under pressure, communicates clearly, and genuinely enjoys helping people and their pets. The candidate should also be able to use basic computer functions as well as various software's (with provided training). We are hiring for 1 full-time position and 1 part-time position. Benefits (after 90-day probation) Medical, Vision, & Dental through UPMC (Medical covered 50% by company; Dental & Vision covered 100%) Accrued PTO Short Term Disability Long Term Disability Life Insurance Continuing Education 8 paid holidays Lunch is frequently provided Qualify for Public Service Loan Forgiveness Discounted veterinary services for your pets Key Responsibilities Client Service & Front Desk (Primary Focus) Greet clients professionally and compassionately at check-in and check-out Answer incoming phone calls, texts, and emails promptly and professionally Schedule appointments efficiently to maximize clinic flow and productivity Screen calls appropriately and escalate medical concerns to veterinary staff Assist clients with questions regarding preventative care, vaccines, diagnostics, and procedures Discharge patients by reviewing invoices, medications, discharge instructions, and doctor notes Echo and reinforce veterinary recommendations clearly and confidently Maintain accurate client and patient medical records in the practice management system Administrative & Clerical Duties Data entry and record maintenance Prepare forms and paperwork in advance of appointments when possible ,Manage callbacks reminders, and follow-up appointments Handle mail, correspondence, scanning, and general office organization Assist with stocking and organizing front-of-house supplies Maintain a clean, organized, and welcoming reception area Financial Responsibilities Collect payments, process credit cards, make change, and explain invoices Balance cash drawer and complete end-of-day reconciliation Accurately document cash, check, and donation transactions Educate clients on services, fees, and care plans while emphasizing value Team & Clinic Support Communicate effectively with veterinarians, technicians, and fellow CSRs Maintain a positive, professional attitude at all times Support clinic policies, procedures, and overall practice philosophy Perform additional duties as assigned Required Qualifications High school diploma or equivalent Customer service experience (veterinary or medical setting preferred but not required) Strong verbal and written communication skills Excellent organizational and multitasking abilities Comfortable working in a fast-paced, high-stress environment Computer literacy (Google Workspace, practice management software experience a plus) Ability to work independently and as part of a team Compassion, tact, and professionalism when dealing with distressed pet owners Physical & Work Environment Requirements Ability to stand, walk, sit, bend, and move throughout the clinic for extended periods Ability to lift up to 30 lbs (assisted for heavier lifting) Exposure to animals, animal waste, medical odors, and clinic noise Potential (but very limited) exposure to scratches, bites, and contagious diseases Why Work With Us?
