THE ROLE
This is not a traditional administrative position. The heart of this role is guiding clients through one of the most important moments in their estate planning journey: signing their estate plan. As our Client Services Coordinator, you will independently conduct most of the estate plan signing process, helping families execute and notarize trusts, wills, powers of attorney, and healthcare directives with confidence and clarity. You will be the primary point of contact during the signing process, ensuring clients feel informed, comfortable, and cared for every step of the way. We can teach estate planning. We are looking for someone who already understands how to make people feel welcome, supported, and confident. Beyond signings, you will assist with some scheduling, client communication, document preparation, and the day-to-day tasks that help a growing law firm deliver an exceptional client experience.•

WHAT SUCCESS LOOKS LIKE

A TYPICAL WEEK
Conduct estate plan signing appointments Guide clients through trust, will, power of attorney, and healthcare directive signings Notarize documents and ensure proper execution procedures are followed Coordinate scheduling and appointment confirmations Communicate with clients regarding next steps and questions Prepare, print, scan, and organize documents Assist with office operations and client experience initiatives Coordinate with attorneys and team members to keep matters moving smoothly

QUALIFICATIONS
Required:
  • Active California Notary Public Commission (not negotiable)
  • Strong interpersonal and communication skills Excellent attention to detail Professional demeanor and appearance Ability to work independently and manage multiple responsibilities
Preferred:
Experience in a client-facing professional environment Helpful backgrounds may include: Law firms Financial services Escrow or title companies Healthcare administration Executive assistant roles Client relationship management Hospitality or concierge services Training will be provided. Estate planning experience is not required.
SCHEDULE & COMPENSATION
$31
  • 38 per hour, depending on experience 32 hours per week Hybrid position Flexible scheduling Scheduled in-office signing blocks, generally two or more times per week Remote flexibility for administrative work
Benefits:
