Front Desk Management:
Greet clients and visitors with a professional and welcoming demeanor, offering assistance when needed. Maintain an organized and professional reception area. Assist with ordering and managing food and beverage services. Serve as a liaison between clients and attorneys. Assist visiting attorneys with clerical and administrative requests when needed.
Administrative Functions:
Process incoming deliveries and ensure Firm members are promptly notified and deliveries record. Manage office and kitchen supply ordering based on inventory from Office Services Handle the processing of incoming checks and "petty cash". Assist Practice Support Specialists with special projects to be assigned through the Practice Support Team Lead(s). Coordinate with facilities and Managing Attorney on any facility needs or issues. Serve as the back-up for the Office Services Clerk.
You should have:
Proven experience in a customer service or administrative role, preferably in a professional services environment. Exceptional communication and people skills with the ability to interact effectively with clients, attorneys and paraprofessionals. Proficient in Microsoft Office Suite. Strong organizational skills and attention to detail. Ability to multitask and prioritize tasks effectively. Strong problem-solving skills and ability to pivot with challenges. Commitment to maintaining the confidentiality of sensitive client and firm information. Collaborate effectively with colleagues across all departments and contribute to a positive working environment.
