Job Description

About the Opportunity We are a small, growing financial-services company with two closely connected divisions: a residential mortgage brokerage and a private/hard money lending business serving real estate investors and developers. We are hiring a Loan Operations & Client Support Specialist to support loan files, clients, and day-to-day operations across both divisions. Mortgage or real estate experience is helpful, but it is not the most important qualification. We can teach the right person our industry, systems, and processes. What matters most is finding someone who is curious, conscientious, collaborative, comfortable with technology, and genuinely interested in helping a small team succeed. This is not an isolated, heads-down role. Our team works closely together, responsibilities often overlap, and the work one person completes affects everyone else. The successful candidate will communicate openly, ask questions early, take ownership of assignments, and willingly step in when a coworker needs help. What Success Looks Like Here
  • You take pride in producing accurate, complete work and follow through without repeated reminders.
  • You ask thoughtful questions when something is unclear rather than guessing or allowing a problem to remain hidden.
  • You enjoy learning new systems, processes, and industry concepts.
  • You communicate warmly and professionally with clients, coworkers, and business partners.
  • You participate in team meetings, share useful observations, and remain engaged in the team's priorities.
  • You are willing to help with work that supports the company, even when the task falls outside a narrow interpretation of your regular duties.
  • You are organized enough to manage multiple files, deadlines, follow-ups, and changing priorities.
  • You respond constructively to coaching and use feedback to improve. Primary Responsibilities
  • Assist with residential, investor, bridge, rehabilitation, construction, and other real estate loan files from initial inquiry through closing and post-closing follow-up.
  • Collect, review, organize, and track borrower and transaction documentation.
  • Prepare files for underwriting or lender review and help resolve missing items and conditions.
  • Order and manage third-party services such as appraisals, title work, credit reports, verifications, and insurance documentation.
  • Prepare and send borrower disclosures, including Loan Estimates, after appropriate training and authorization.
  • Maintain accurate, timely, and well-organized records in the loan origination system and customer relationship management systems.
  • Communicate status updates and document requests to borrowers, loan officers, lenders, attorneys, real estate professionals, and other settlement partners.
  • Coordinate closing-related tasks and assist with post-closing documentation and client follow-up.
  • Help maintain federal, state, lender, and company compliance records and procedures.
  • Participate in pipeline meetings and proactively identify files or tasks requiring attention. Loan Officer, Client Experience & Team Support
  • Support borrower intake, application follow-up, and preapproval preparation.
  • Maintain CRM data, follow-up tasks, pipeline notes, and scheduling information.
  • Assist with client gifts, mailings, events, referral initiatives, and post-closing outreach.
  • Cross-train so the team has coverage during vacations, absences, and periods of increased volume.
  • Assist coworkers with operational projects and general office needs when priorities require it.
  • Suggest practical improvements when you notice a process that could be clearer, faster, or more reliable. Qualifications
  • Strong organization, attention to detail, follow-through, and time-management skills.
  • Professional, friendly, and clear written and verbal communication.
  • Comfort learning and using multiple technology platforms; experience with an LOS, CRM, Microsoft 365, Google Workspace, or similar business tools is helpful.
  • Curiosity and willingness to ask questions, take notes, apply feedback, and learn unfamiliar material.
  • A collaborative working style and a genuine willingness to assist teammates.
  • Ability to manage confidential financial and personal information with care and good judgment.
  • Ability to work in the Cohasset office on the required schedule and maintain reliable attendance.
  • Mortgage, banking, real estate, legal, insurance, accounting, transaction coordination, project coordination, or high-volume administrative experience is preferred but not required. Licensing & Work Requirements
  • Ability to obtain and maintain an NMLS license is required for assigned duties; company-paid.
  • Ability to obtain and maintain a Massachusetts Notary Public commission is required; company-paid.
  • Full-time, Monday-Friday schedule, generally 9:00 a.m.-5:00 p.m., with occasional additional time when business volume or closing deadlines require it.
  • This position is based in our Cohasset office. After 90 days, the employee may become eligible to work remotely up to two days per week based on successful training, performance, role requirements, and business needs.
  • The office is located in a smoke-free building and is a non-smoking work location. Why Join Us?
  • You will learn the full lifecycle of residential and real estate investment financing.
  • Your work will be visible, meaningful, and appreciated by a small team.
  • You will have direct access to experienced mortgage and private-lending professionals.
  • The position can grow as your skills, knowledge, and responsibilities develop.
  • We value people who care about clients, coworkers, accuracy, learning, and shared success.
Our Hiring Process Our selection process may include a brief phone conversation, in-person interviews with team members, reference and employment verification, and a practical job-related exercise. The exercise is designed to evaluate organization, communication, attention to detail, technology comfort, learning ability, and judgment. Candidates are not expected to know every mortgage concept in advance.
