Job Overview We are seeking a dynamic and detail-oriented Client Intake Specialist to join our legal support team. In this vital role, you will be the first point of contact for prospective clients, ensuring a seamless and professional intake process that sets the tone for exceptional client service. Your energetic approach and strong organizational skills will help gather essential information, assess client needs, and coordinate with legal professionals to facilitate efficient case management. Common Duties and Responsibilities Answer incoming phone calls, emails, website inquiries, and text messages. Respond to prospective clients in a professional and empathetic manner. Gather basic information about the client's legal issue. Explain the firm's consultation process, fees, and scheduling procedures. Follow up with leads who have not yet scheduled consultations. Manage and maintain accurate client records using document management systems such as Clio Grow and Clio Manage Handle confidential client information with integrity, adhering to privacy policies and procedures Provide exceptional client communication through phone etiquette and email correspondence Enter client information into the firm's case management system. Create and maintain accurate intake records. Ensure all required forms and questionnaires are completed. Qualifications Excellent verbal and written communication Strong active listening and empathy Customer service experience Organization and attention to detail Ability to handle sensitive and confidential information Time management and multitasking Effective communication skills for client interaction and team collaboration Experience supporting legal projects from initiation through completion with a focus on accuracy and efficiency Ability to multitask in a fast-paced environment while maintaining professionalism and a positive attitude
