Job Description

Position Summary We are seeking a customer-focused and detail-oriented Customer Service Representative to serve as a key point of contact for our customers while supporting order management and administrative operations. The ideal candidate will be responsible for guiding customer orders through the order lifecycle, maintaining accurate records, coordinating with internal departments, and ensuring exceptional customer service. Key Responsibilities Track customer orders throughout the order lifecycle, including confirming order details, processing requests, and providing status updates. Collaborate with production, scheduling, inventory, and other departments to confirm product availability and estimated ship dates. Communicate customer requirements, concerns, and special requests to the appropriate internal teams. Prepare and send order confirmations, updates, and other customer communications as needed. Respond promptly and professionally to customer inquiries via phone, email, and other communication channels. Answer incoming phone calls and direct inquiries to the appropriate personnel. Greet and assist visitors, answer the front door, and maintain the visitor log. Update and maintain customer records, files, and documentation to ensure accuracy and completeness. Maintain internal department files and records in an organized manner. Assist with maintaining and updating the department's SharePoint site. Coordinate and assist with booking transportation carriers for customer shipments. Support daily administrative functions and contribute to overall departmental efficiency. Qualifications High school diploma or equivalent required; associate degree preferred. Previous customer service, administrative, order management, or office support experience preferred. Strong verbal and written communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Proficiency with Microsoft Office applications, including Outlook, Excel, and Word. Experience with SharePoint or similar document management systems is a plus. Strong problem-solving skills and a commitment to providing exceptional customer service. Preferred Characteristics Positive and professional demeanor. What Success Looks Like The successful candidate consistently delivers excellent customer service, maintains accurate records, effectively coordinates with internal teams, and ensures customer orders are processed and communicated accurately from order entry through delivery.
