This is not a typical administrative role. It requires someone who can seamlessly move between client-facing communication and detailed document processing — and who understands how the two are connected. In this position, you will serve as a primary point of contact for clients via phone and email, fielding questions about tax and accounting documents, guiding them through what is needed, and ensuring everything received is accurate, complete, and properly processed. At the same time, you will be responsible for organizing, identifying, and saving incoming client documents into our system so our accounting staff can work efficiently and without interruption. While the majority of this role is focused on client services and document processing, you will also support the day-to-day flow of the front office — greeting clients and guests upon arrival, answering and directing incoming calls, and assisting with general office administrative needs as they arise. Success in this role requires more than following instructions. We are looking for someone who is intuitive and forward-thinking — someone who can look at an incoming document, understand where it fits in the workflow, anticipate what might be missing, and take the right next step without being told. This role operates at high volume, and the ability to work accurately and efficiently under that pressure is essential. Key Responsibilities Client Services & Document Processing Serve as a primary point of contact for clients via phone and email, answering questions related to tax and accounting documents professionally and accurately Receive, review, organize, and process incoming client documents — identifying what has been received, what is missing, and what requires follow-up Save and file client documents into the firm's system accurately and in accordance with established procedures so accounting staff can access and act on them without delay Anticipate workflow needs based on documents received and proactively flag issues or gaps before they cause delays Communicate with clients regarding outstanding documents, required signatures, and upcoming deadlines Coordinate the full lifecycle of tax return processing, from initial document collection through completion Support monthly accounting workflows by collecting required monthly statements and financial data needed for financial statement preparation Print and distribute monthly reports and financial statements to clients via their designated client portal Maintain and manage shared email inboxes to ensure timely, professional responses Schedule and coordinate client consultations and meetings with tax and accounting staff Handle sensitive and confidential information — including SSNs and financial data — with discretion at all times Collaborate closely with team members to ensure workflows are completed accurately and on time General Office & Administrative Support Greet clients, guests, and visitors in a warm and professional manner upon arrival Answer and direct incoming phone calls promptly and professionally Manage incoming and outgoing mail, deliveries, and courier logistics Monitor and maintain office supplies — proactively identify when items need to be restocked and coordinate orders accordingly Maintain a clean, organized, and professional office environment Assist with general administrative tasks as needed to support the team What We're Looking For Prior experience in an administrative role within a professional office environment required; experience in tax, accounting, or financial services is a plus but not required — the right candidate will be trained on the specifics A fast learner who can absorb new information and apply it consistently — you will be trained on tax and accounting documents, but you need to be the type of person who picks things up quickly and retains them Exceptional attention to detail with a proven ability to catch inconsistencies, identify missing information, and resolve gaps before they become problems Intuitive and forward-thinking — someone who anticipates what comes next rather than waiting to be directed Able to work accurately and efficiently at high volume without sacrificing quality Strong written and verbal communication skills with a professional, client-friendly manner Sound judgment and the ability to handle competing priorities in a fast-paced environment High level of discretion when working with confidential client information Dependable, accountable, and a strong team contributor Proficiency in Microsoft Office and standard office applications
