com Communication skills Entry level ChatGPT Generative AI File organization Client interaction via phone calls Full Job Description Contour Fence is looking for a highly organized and detail-oriented Sales Administrator / Customer Service Representative to support our team and Lead Sales Administrator in managing incoming calls, customer communication, and CRM organization. This is a process-driven role focused on accuracy, organization, and ensuring nothing falls through the cracks.
Responsibilities:
Customer Communication & Intake
  • Answer inbound calls and assist customers with initial inquiries
  • Answer basic customer questions and provide general information while following company guidelines
  • Collect and document complete customer information (full name, address, phone number, and email)
  • Document customer needs accurately without making assumptions CRM, Systems & Organization
  • Create and maintain leads in Monday.com (CRM) and support proposal workflows using ArcSite
  • Use and maintain AI tools (such as ChatGPT) to process information efficiently while following company guidelines and SOPs
  • Maintain and organize company files and documents within OneDrive
  • Use OneNote to track customer calls and maintain organized internal notes
  • Maintain clean, organized, and up-to-date records at all times Scheduling & Project Coordination
  • Schedule customer appointments and coordinate calendars with Project Managers
  • Assist Project Managers in the field by handling customer communication and coordination
  • Track leads and follow-ups to ensure timely responses
  • Step in to assist with customer calls and scheduling as needed Proposals, Contracts & Compliance
  • Send customer proposals prepared by Project Managers and ensure timely follow-up
  • Send DocuSign agreements to customers and ensure timely completion
  • Provide and manage reseller permit documentation as needed
  • Provide customers with required documentation (W-9, insurance certificates) and coordinate additional insured requests Operations & Reporting
  • Call in utility locates (811) and ensure properties are fully marked prior to project work
  • Coordinate with accounting regarding deposits, billing, and project-related updates
  • Complete a weekly scorecard report to track company performance
  • Communicate clearly with internal team members
  • Assist with general administrative and organizational tasks
Requirements:
  • Strong attention to detail and organization
  • Clear and professional communication skills (phone and written)
  • Ability to manage multiple tasks while maintaining accuracy
  • Comfortable working in a structured, process-driven environment
  • Reliable, consistent, proactive, and positive
  • Comfortable working with Excel and Microsoft Office (Outlook, Word, etc.)
  • Comfortable using CRM systems, email, and basic computer tools Nice to
Have:
  • Experience in customer service or administrative roles
  • Experience with CRM systems (Monday.com preferred)
  • Experience in construction, home services, or sales support
