Job Description

Overview We are seeking a dynamic and detail-oriented Administrative/Client Services Assistant to join our team. This vital role combines office management, client support, and administrative functions to ensure smooth daily operations. The ideal candidate will be proactive, organized, and possess excellent communication skills, with the ability to handle multiple tasks efficiently in a fast-paced environment. Objectives of Position The Administrative/Client Services Assistant is responsible for the recording of all donations in the Ekyros system, sending reports and keeping documentation of all deposits to and for appropriate financial officers of the center, maintenance of client statistics, new client advocate training (Ekyros/paperless system), inventory control of office items, bulk mailing completion, oversee and organize boutique (inventory items), volunteer scheduling and Client Advocate counseling and services with clients when volunteers are not available or inadequate to meet the needs. This position requires the learning of limited and crucial Spanish phrases for potential communication with an increasingly present Spanish speaking community. Training will be provided at no cost. This position requires that the applicant be present at all major fundraising functions to help coordinate and implement activities therein. Qualifications 1. Committed Christian who demonstrates having a personal relationship with Jesus Christ as Savior and Lord and is under the care and accountability of a local church. 2. Strong commitment and dedication to the sanctity of human life and God's plan for human sexuality expressed only within the context of monogamous marriage expressed exclusively between a genetic male and genetic female. 3. Agreement with and willingness to uphold the Statement of Faith, Code of Christian Conduct, Statement of commitment of Care and policies of the center. 4. Excellent organizational skills with impeccable attention to details. 5. Experience in office management and record keeping. 6. Computer experience (Microsoft Word, Excel, pdf formatting and documentation, uploading documents, I-Pad, texting through online text platform as well as social media. 7. Experience in using office equipment (scanner, copy machine, I-Pad, shredder). 8. Commitment to ownership of the position and willingness to sacrifice when needed to assure the job is completed with excellence, efficiency and consistency. 9. Motivated by service to Jesus in the implementation of job duties, dependable and trustworthy. Administrative/Office Management 1. Implementation of opening and closing procedures on all days of center operations. 2. Counting and documenting all donations to Abel PRC in the Ekyros system and update all donor records in all applications in use for to continually increase donor reach and communications of gratitude for their support. 3. Greet, with Christian love and friendliness, all members of the community who enter the facility and provide information about the Christian beliefs and Biblical principles, which are the foundation to the ministry, to anyone who asks. 4. Assist in scheduling of volunteers. 5. Assist in the completion of all bulk mailings and receipt mailings by stuffing and labeling envelopes and coordinating volunteers to help in the process if needed. 6. Oversee inventory of office supplies, and client materials. 7. Receive client and business calls when volunteer is not available or qualified. 8. Assist executive director with the administration of fundraisers including but not limited to the Walk for LIFE, Master's Open Golf Tournament and Baby Bottle Campaign. 9. Review client intake forms and follow up with client advocates when they haven't been thoroughly completed. 10. Inform staff/volunteers of Ekyros updates. 11. Assist the executive director and nurse manager with performing office administrative duties with excellence when requested. 12. Meet on a weekly basis with the Executive Director to go over needs and/or questions concerning the operations of the center and any potential areas of opportunity of growth.
