Intake Specialist & Client Services Coordinator Freeburg Law

  • $50,000 to $55,000/year A law firm and its affiliated business formation company are hiring one person to be the first voice both of them have.
You will spend about half your time on legal intake for the firm and about half on customer service and registered agent operations for Start in Wyoming, our affiliated company that helps entrepreneurs form and maintain Wyoming businesses. About you You enjoy talking with people. You like to hear someone's story. You're compassionate and empathetic — and when someone calls you on the worst day of their life, you stay steady. You're also detail-oriented. You take pride in getting it right. You follow systems and checklists. You like lists. So many lists. You can switch gears without whiplash. One call is a car wreck. The next is an entrepreneur in Ohio who wants a Wyoming LLC. Both people get your full attention. You're not above paper. Part of this job is turning a stack of physical mail into clean digital records, correctly, every single day. Somebody's lawsuit is in that stack, and you're the one who catches it. You'd rather own something than be assigned it. About us We represent individuals and small businesses. Freeburg Law handles personal injury, criminal defense, family law, and civil litigation. Start in Wyoming is our affiliated formation and registered agent company—overlapping team members, different work, and the two together are why this job is more interesting than a front desk. We're small. We build real systems and we use good software. There is no committee between you and a decision, and no one here is going to pretend a broken process is fine. What you'll do Answer the phone — every call, every day — and be genuinely glad to meet someone new. Interview people about what happened to them, and write it down completely and accurately. Run conflicts checks, schedule consultations, send fee agreements, and follow up until there's an answer. Keep the intake pipeline so clean that nothing sits without a next step. Answer Start in Wyoming customers about formations, annual reports, and registered agent service. File with the Wyoming Secretary of State and track every order through to completion. Scan, index, and forward registered agent mail daily — and get service of process to the customer the same day it arrives. Write and improve the checklists that make all of the above repeatable. What we're looking for Two or more years talking to people on the phone all day — a law firm, a clinic, an insurance office, a call center, a hotel front desk. The industry matters less than the volume. A track record of accuracy. If you've ever built a system to stop yourself making the same mistake twice, tell us about it. Comfort with software. You don't need to know our software stack; you need to be the kind of person who learns it in a week. Discretion. You'll know things about people's worst moments, but you can't talk about them outside the firm. Legal, paralegal, or Wyoming Secretary of State experience is a plus, not a requirement. Spanish is a plus. What we offer $50,000 to $55,000/year, depending on experience.
