Job Description

Job Overview We are looking for a motivated, dependable, and detail-oriented individual to fill a dual front office and back-office role. This position is ideal for someone who thrives in a quality driven clinical environment, takes pride in patient care, and can seamlessly transition between administrative and chairside responsibilities throughout the day while helping create a smooth, patient centered experience from arrival through treatment. Front Office Responsibilities Greet and warmly welcome patients upon arrival, ensuring a positive first impression Ensure consultation forms and consents are distributed and fully completed prior to appointments Assist patients in completing forms accurately and answer any questions they may have Collect predetermined patient payments as directed by the Treatment Coordinator Answer and manage incoming phone calls professionally and efficiently Support the Treatment Coordinator in maintaining an organized daily schedule, including handling cancellations and reschedules Keep the reception and waiting area clean, organized, stocked, and presentable always Send and receive office shipments and notify appropriate team members upon delivery Verify and update patient demographic, insurance, and health history information as needed prior to appointments Schedule follow up appointments and communicate next steps clearly to patients at checkout Maintain accurate patient records and always uphold HIPAA privacy and confidentiality standards Strong knowledge of dental terminology, medical terminology, ICD coding (ICD-9/10), CPT coding, and healthcare documentation standards Proficiency with electronic health record (EHR) systems like Dentrix, Eaglesoft, Meditech, Epic, Athenahealth or similar platforms Experience with medical collection processes and insurance verification procedures Excellent customer service skills with a friendly phone etiquette and ability to handle multi-line phone systems confidently Bilingual abilities are highly valued to serve diverse patient populations effectively Demonstrated clinic or dental office experience with familiarity in front desk operations and office management tasks Competent in computer skills including Microsoft Office Suite (Word, Excel), typing (10-key), and health information management software Back Office Responsibilities Turnover and prepare operatory rooms between patient appointments Sterilize instruments in accordance with OSHA and infection control protocols Restock clinical supplies and ensure operatories are always stocked Maintain cleanliness and organization of all operatory spaces Maintain restroom cleanliness and ensure supplies remain stocked throughout the day Provide chairside assistance during restorative and surgical procedures Seat patients, review medical history updates, and prepare them appropriately for their procedure Anticipate provider needs and help maintain an efficient, organized working environment during procedures Provide patients with pre and post-operative instructions as directed by the doctor in a clear, supportive manner Report supply shortages, equipment concerns, or maintenance needs promptly to the appropriate team member Qualifications Prior experience in a dental front or back office setting strongly preferred Registered Dental Assistant (RDA) license in California preferred but not required; experience and attitude matter Current CPR/BLS certification (or willingness to obtain upon hire) Warm, professional demeanor with strong patient communication skills Ability to multitask and adapt quickly in a busy, team-oriented environment Comfort working in both administrative and clinical settings throughout the same workday Familiarity with Open Dental practice management software is a plus Knowledge of dental terminology and procedures preferred Strong attention to detail and commitment to maintaining a clean, organized, patient focused environment Working knowledge of OSHA, infection control, and patient confidentiality standards preferred What We Offer Competitive hourly compensation based on experience A modern, well-equipped office with a supportive and professional team culture Exposure to high level implant and prosthodontic cases not found in general practices Real opportunity for growth and expanded responsibility as the practice grows Ongoing training and development in clinical and administrative dental workflows
Pay:
$22.00 - $27.00 per hour
