In this pivotal role, you will serve as the primary point of contact for our patients, establishing a warm, welcoming environment from the moment they walk through the door. You will work collaboratively with our clinical staff to coordinate patient care, streamline daily administrative workflows, and handle patient records, accounts, and insurance processing. The ideal candidate is an empathetic communicator who thrives in a fast-paced environment and is passionate about delivering exceptional patient service.
Key Responsibilities Patient Experience:
Greet patients warmly, manage patient intake, and coordinate the check-in/check-out processes.
Schedule Coordination:
Manage the practice booking system, schedule and confirm appointments, and optimize chair time.
Records Management:
Establish and securely maintain digital and physical patient records while maintaining strict confidentiality.
Financial Administration:
Process patient payments, manage accounts, issue billing statements, and handle daily transaction logging.
Insurance Coordination:
Verify insurance coverage, calculate co-pays, submit claims, and manage pre-determinations.
Patient Follow-Up:
Conduct outreach for treatment reminders, appointment recalls, and post-procedure check-ins.
Team Collaboration:
Act as an administrative liaison between patients, dentists, dental hygienists, and support staff.
Qualifications & Skills Experience:
Previous experience as a receptionist in a dental office or medical practice is strongly preferred.
Organization:
Strong problem-solving abilities and exceptional organizational skills to manage multiple priorities efficiently.
Adaptability:
Ability to stay calm, focused, and precise in fast-paced medical situations.
Communication:
Excellent verbal and written communication skills with a polished, professional telephone manner.
Interpersonal Skills:
High level of empathy and compassion to ease patient anxieties and build lasting rapport.
Technical Savvy:
Proficiency in general office computer systems; experience with dental practice management software (e.g., Open Dental) is a major plus.
