Job Description
Job Summary:
We are seeking an experienced, organized, and results-driven Dental Office Manager to oversee the daily operations of our dental practice. The ideal candidate will be responsible for managing office staff, improving patient satisfaction, ensuring operational efficiency, handling financial and administrative functions, and supporting overall practice growth. The Dental Office Manager plays a critical leadership role in maintaining a productive, positive, and patient-focused environment while ensuring compliance with healthcare regulations and office policies. Key ResponsibilitiesOffice Operations Management Oversee day-to-day dental office operations to ensure efficiency and productivity Manage front office and back office workflow coordination Monitor office schedules to maximize provider productivity and minimize downtime Ensure smooth patient flow throughout the office Develop and implement office procedures, systems, and policies Maintain office organization, cleanliness, and professionalism Resolve operational issues promptly and effectively Must have experience coordinating and managing dental implant procedures, including treatment planning, case presentation, scheduling, insurance coordination, and patient follow-up. Experience in implant dentistry is required. Candidates should be familiar with implant workflows, surgical scheduling, treatment coordination, and patient financing. Must understand implant case management, including pre-op and post-op patient coordination, referrals, and insurance processing. Staff Management & Leadership Recruit, interview, onboard, and train new employees Supervise front desk staff, dental assistants, hygienists, and administrative team members Create and manage employee schedules and staffing coverage Conduct performance evaluations and provide coaching and development Monitor employee productivity, attendance, and professionalism Promote teamwork, accountability, and positive office culture Address employee concerns and resolve workplace conflicts professionally Lead daily morning huddles and team meetings Patient Relations & Customer Service Ensure exceptional patient experience and satisfaction Handle patient complaints, concerns, and escalated issues professionally Maintain strong communication with patients regarding treatment, scheduling, and financial arrangements Monitor patient retention and recall systems Improve patient engagement and office reputation Ensure all patient interactions reflect professionalism and compassion Financial & Revenue Cycle Management Monitor office production, collections, and financial performance Track daily, weekly, and monthly KPIs (Key Performance Indicators) Manage accounts receivable and outstanding balances Review insurance claims, aging reports, and denied claims Ensure accurate patient billing and payment collection Oversee treatment plan presentation and financial arrangements Manage office budgets and expenses Coordinate with billing and insurance teams to improve collections Insurance & Billing Oversight Ensure accurate dental insurance verification and benefit breakdowns Supervise insurance claim submission and follow-up processes Monitor claim aging and reimbursement timelines Resolve insurance discrepancies and appeals Ensure compliance with insurance policies and coding accuracy Work closely with PPO, HMO, Medicaid, and private insurance plans Scheduling & Productivity Management Optimize doctor and hygienist schedules for maximum efficiency Reduce cancellations and no-shows through confirmation systems Monitor schedule gaps and production goals Coordinate emergency patient scheduling Ensure proper appointment flow and time management Compliance & Regulatory Responsibilities Ensure compliance with OSHA, HIPAA, and CDC regulations Maintain patient confidentiality and data security Ensure office licenses, permits, and certifications remain current Monitor infection control and workplace safety standards Implement and maintain compliance training programs Inventory & Vendor Management Monitor dental and office supply inventory Order supplies and equipment as needed Maintain relationships with vendors and suppliers Control office expenses and negotiate pricing when appropriate Ensure equipment maintenance and service scheduling Reporting & Administrative Duties Prepare operational and financial reports for ownership or leadership Analyze office performance and identify improvement opportunities Maintain accurate employee and patient records Support marketing initiatives and office growth strategies Assist with audits and documentation requests Required Qualifications Minimum 2-5 years of dental office management experience preferred Strong knowledge of dental office operations and procedures Experience with dental insurance billing and collections Familiarity with Dentrix, Eaglesoft, Open Dental, or similar dental software Excellent leadership and communication skills Strong organizational and multitasking abilities Ability to manage staff and office performance effectively Knowledge of HIPAA, OSHA, and dental compliance regulations High school diploma or equivalent required Bachelor's degree in healthcare administration, business, or related field preferred Preferred Skills Strong understanding of dental treatment planning and case acceptance Experience managing multi-provider dental practices Ability to analyze reports and improve office profitability Strong conflict resolution and problem-solving abilities Excellent customer service and patient communication skills Ability to work in a fast-paced environment Bilingual candidates are a plus Schedule Monday to Friday Occasional evenings or weekends as needed Full-time, 8-hour shifts Why Join Us?
