Treatment Coordinator Position Overview:
We are seeking a professional, organized, and customer-focused Dental Office Receptionist to serve as the first point of contact for our patients. This role is responsible for helping create a welcoming, efficient, and positive patient experience while supporting the daily operations of the practice. The ideal candidate is dependable, detail-oriented, able to multitask in a fast-paced environment, and willing to learn additional front office responsibilities over time, including treatment plan presentation and patient coordination support.Responsibilities:
Patient Reception & Front Desk Duties Greet and welcome patients professionally upon arrival Check patients in and verify/update demographic and insurance information Maintain a clean, organized, and welcoming reception area Notify clinical staff when patients arrive Monitor appointment flow and communicate delays professionally Check patients out after appointments Schedule follow-up appointments and hygiene recalls Collect payments, co-pays, and outstanding balances Provide patients with receipts and appointment information Phone & Communication Responsibilities Answer multi-line phone systems promptly and professionally Schedule new and existing patient appointments Respond to questions regarding office services, scheduling, insurance, and general office information Return voicemails and follow up with patients as needed Confirm upcoming appointments Contact patients regarding overdue hygiene visits or unscheduled treatment Help fill schedule openings and cancellations Communicate effectively with doctors, hygienists, assistants, and management Scheduling & Administrative Duties Maintain an organized and productive daily schedule Coordinate hygiene, treatment, emergency, and consultation appointments Assist with managing patient recalls and continuing care scheduling Scan, file, and maintain accurate patient records Prepare paperwork and patient forms Organize incoming mail, deliveries, and front office documents Maintain confidentiality and HIPAA compliance Office Support Responsibilities Restock refrigerators, beverage stations, coffee/snack areas, and front office supplies Help maintain cleanliness and organization of the reception and front office areas Monitor office supply levels and notify management when items are low Assist with minor office tasks to support smooth daily operations Insurance & Financial Responsibilities Verify dental insurance benefits and eligibility Document insurance information accurately Explain estimated patient portions and payment expectations Process payments and maintain accurate financial records Assist with basic billing and insurance questions Treatment Plan & Patient Coordination Support Learn basic treatment plan presentation and patient coordination responsibilities Assist patients with understanding recommended treatment and scheduling needs Cross-train to help provide coverage when the patient coordinator is unavailable Learn financing and payment option processesQualifications:
Previous dental, medical, or front office experience preferred but not required Strong customer service and communication skills Excellent organizational and multitasking abilities Comfortable using computers, phones, and scheduling software Professional appearance and attitude Dependable, detail-oriented, and team-focused Willingness to learn and grow within the practice Understanding of ORYX scheduling software is a large positive but not required Compensation & Benefits Competitive pay ($18-$20/HR) Paid time off (After 90 Days) 7 Paid holidays Health, Dental, and Vision Benefits Bonus opportunities Continuing education and training provided as needed Additional Information Candidates who take the time to thoroughly and thoughtfully answer questions will receive higher consideration during the hiring process.
