USTDA supports the development of overseas infrastructure projects that advance shared strategic interests of the United States and its partners, offering opportunities for export of U.S. solutions, technology, goods, and services.

Key Duties and Responsibilities:
Conference Room and Training Center Management Schedule and coordinate USTDA's Business Center and seven conference rooms (Large Conference Room, Small Conference Room, Board Room, Library Room, Director's Conference Room, Map Room, and Surge Room) Maintain events calendar for Business Center and all agency conference rooms Review and approve staff booking requests for conference rooms Support approximately 50-60 annual events including internal agency meetings and training sessions Audio-Visual Equipment Management Perform physical room setup of furniture, refreshment stations, and audio-visual equipment Set up and manage teleconferencing equipment for guests, events, and meetings Ensure all conference room equipment is operable and troubleshoot minor connection issues Receive training in management of operational functions of conference room audio-visual equipment Provide on-site technical support, troubleshooting issues with AV equipment during events (microphone and monitor connectivity, presentation or visual material access) Create and edit audio-visual content such as presentations and videos Conduct bi-weekly walk-throughs of conference room spaces and training center to check system and equipment function Facilities Coordination Receive and log facilities requests into building management tracking system Respond to Agency staff submissions for facility-related issues Monitor incoming requests to shared facilities email account Generate work order tickets for facility issues Work with Office of Administration on escalated facilities-related issues Ensure all work orders are closed out Coordinate with audiovisual subcontractor to set up repair visits as needed Coordinate audiovisual issues through the COR before setting up technical repair visits Event Support and Preparation Ensure conference rooms, training center, kitchens, and pantries are well-stocked, functioning, and ready for events Coordinate with Agency staff, contractors, caterers, building staff, and others to facilitate meeting preparation Set up conference, board, and training rooms for events Move refreshments and conference meals from Training Center and Conference Rooms to Agency kitchens Ensure all debris is disposed of and spaces are cleaned by close of business on the day of each event Maintain orderliness of Agency Training Center and conference rooms Information Management Support Input and update data in USTDA's Information Management Systems (MS SharePoint, TDAMIS) Organize and verify fiscal, program and project management, contract and grant, and related information data Provide support to Chief Information Officer (CIO)/Deputy CIO for system-related IT issues and upgrades Proficient in use of various IT programs, databases, and computerized systems Administrative Support Provide general administrative management support to USTDA operations and program staff Support building and facilities management functions Assist with staff onboarding and offboarding Physical ability to move large numbers of files and/or file boxes Perform other administrative support duties as required
Required Skills/Abilities:
Must possess and maintain SECRET security clearance U.S. Citizenship required Proficient in Microsoft Office Suite (Outlook, Teams, Word, PowerPoint, Excel) Experience providing on-site technical support and troubleshooting audio-visual equipment during events Experience creating and editing audio-visual content such as presentations and videos Experience setting up conference, board, and training rooms Strong organizational and customer service skills Excellent written and verbal communication skills Commitment to innovative and quality customer service Ability to respond flexibly in time-sensitive environment Ability to manage multiple tasks, prioritize work, and meet deadlines Ability to identify and resolve complex problems Strong attention to detail and accuracy Physical ability to move large numbers of files and/or file boxes
Education and Experience:
Minimum 7 years of administrative management or relevant work experience College degree required in business or information management and/or related certifications Experience in creating and implementing organizational or administrative management policies and procedures Experience managing an agency project report library Experience in information and records management Proficient in use of various IT programs, databases, and computerized systems
Physical Requirements:
Physical ability to move large numbers of files and file boxes Ability to perform physical room setups including furniture arrangement Ability to handle and troubleshoot audio-visual equipment

Non-exempt Work Schedule:
Monday-Friday, 8:30 AM - 5:30 PM (40 hours/week)
Federal Holidays:
12 annual federal holidays observed
Telework:
Situational telework may be granted with Contracting Officer/Contracting Officer's Representative (CO/COR) approval; contractor must ensure sufficient staff coverage for all contract duties
