Job Description

Job Overview Reporting directly to the Executive Director, the Festival Coordinator is a vital part of the Sweet Pea Festival team. The Festival Coordinator will help oversee office operations including office correspondence, Board/Committee meeting preparations, file management, merchandising inventory, and any other duties as assigned. This position is constantly evolving based on Festival needs. Hours & Work Location August 15th to June 15th flexible up to 20 hours a week. Preferred schedule of Monday-Wednesday 10AM-2PM. June 20th to August 20th 40+ hours per week or as required to perform the job duties necessary for a successful Festival. This role is primarily office-based and requires regular in-person attendance. Limited remote work may be available based on operational needs and supervisor approval. This position may require occasional travel. Responsibilities 1. Correspondence with the public and the Board/Committee Members a. Monitor admin email, phone calls, and office voicemail b. Greet office visitors when applicable c. Volunteer Coordination including set up of online registration system currently (VolunteerLocal) and posting/distributing public links to ensure ease of use for public. 2. File organization and management 3. Merchandise a. Oversee and operate retail system (Square) b. Train Board/Committee Members and volunteers on retail system c. Fulfill online retail orders and ensure prompt mailing or pick-up d. Handle in-office retail sales, including wristband and merchandise sales e. Oversee and update inventory as necessary 4. Board/Committee Meeting Preparations a. Print off any documents needed and bring to meeting b. Ensure all name plates, roster and sign-in sheet are present at all meetings c. Record minutes using specified software and submit for approval 5. Festival Preparations & Headquarter Tent management during Festival 6. Print and deliver required materials for additional year-round Sweet Pea events such as Gingerbread contest, Ice Festival and Artist Marketplace, Run to the Pub, multiple Summer Farmers Markets, and Music on Main. 7. Grant writing assistance 8. Any other duties as assigned Experience High school graduate or equivalent is required Must be 18+ years old Proficiency in written and spoke English is required Must possess a valid driver's license Ability to follow instructions, work safely, and independently is required Excellent communication skills, including written and oral Competence with Windows, Microsoft Office, Google Suite, and Adobe Suite Profession demeanor, both in-office and public facing Willingness to learn Flexibility and commitment to schedule, especially during Festival time Must meet physical requirements necessary to perform essential functions of the position• (listed below), with or without reasonable accommodation •
