$55,000-$65,000 annually, depending on experience About Sponzo Interiors Sponzo Interiors is a growing boutique interior design studio based in Essex, Connecticut, specializing in elevated residential interiors and highly personalized client experiences. As a small but expanding business, we are seeking an initiative-taking, organized, and resourceful Operations Coordinator to become a trusted extension of the business and help support the company's continued growth. This role is best suited for someone who enjoys ownership, accountability, and being deeply involved in the day-to-day operations of a growing business. This role is ideal for someone who thrives in a fast-paced, entrepreneurial environment and enjoys taking ownership, improving systems, supporting clients, and helping a creative business operate smoothly behind the scenes. The ideal candidate is highly organized, detail-oriented, tech-savvy, and solution-oriented, with strong interpersonal skills and the ability to independently manage priorities while collaborating closely with leadership. Experience supporting boutique, client-focused businesses with evolving priorities and high-touch service expectations is highly valued in this role. Position Overview The Operations Coordinator will support both internal business operations and client coordination. Responsibilities include business administration, vendor and financial coordination, project coordination, studio management, systems organization, and client communication. This role requires someone who is comfortable wearing multiple hats, adapting quickly, and proactively improving systems and workflows within a growing small business environment. Key Responsibilities Client Concierge & Project Coordination Communicate with clients regarding scheduling, coordination, purchasing, invoicing, and project updates Assist with purchasing, tracking, and coordination of furnishings and materials Support project coordination and maintain organized project documentation Coordinate client gifting and communication initiatives Maintain a polished and professional client experience throughout all interactions Business Administration & Financial Operations Prepare and send invoices Assist with accounts payable/receivable and cash flow coordination Support payroll coordination and financial organization Communicate with the company bookkeeper to maintain accurate records and transaction tracking Assist in the development and maintenance of operational systems, workflows, and SOPs Help improve systems and operational workflows as the business grows Studio Operations Maintain organization and upkeep of the studio environment Manage office supply ordering and sample library organization Prepare the studio for client meetings and presentations Assist with studio organization and operational improvements Qualifications Experience in operations, office management, business administration, project coordination, or similar operational support roles required Strong organizational and time-management skills with exceptional attention to detail Strong independent problem-solving abilities with the ability to anticipate needs and proactively identify solutions Highly proactive, self-motivated, and resourceful Strong technology aptitude and comfort learning new systems and software Comfortable using systems and technology to improve organization and workflow efficiency Excellent verbal and written communication skills Professional and polished client-service demeanor Ability to work independently while collaborating within a small team environment Comfortable handling confidential business and financial information Comfortable operating in a fast-moving small business environment where priorities may evolve quickly Required Software Experience Google Workspace (Gmail, Docs, Sheets, Drive, etc.) QuickBooks Online Microsoft Office or similar systems Comfortable working across both PC and Apple platforms Preferred (Not Required) Gusto or payroll software experience Asana Clockify Canva DesignFiles Experience supporting a creative, luxury service, interior design, or similarly fast-paced, client-service-driven business environment strongly preferred Prior experience collaborating with vendors, purchasing, invoicing, and payment coordination within an interior design, furnishings, renovation, or related industry environment preferred Understanding of vendor relationships, procurement processes, furnishings/material tracking, and payment workflows is highly valued for success in this role Why Join Sponzo Interiors?
