Mount Madonna School seeks a collaborative, organized, and detail-oriented Performing Arts Producer to oversee the logistical, operational, financial, and production management aspects of the school's performing arts program. The producer works closely with directors, designers, technicians, faculty, staff, students, families, volunteers, vendors, and administrators to bring each production from conception to curtain call. The role is 0.75 FTE. The Performing Arts Producer oversees the logistical production of:

Lower School (February) Ramayana!: All-School Production (June) This multifaceted position requires strong project management, budgeting, communication, problem-solving, and leadership skills. The producer ensures that productions are executed safely, efficiently, and in alignment with the school's mission, values, and educational philosophy. Production Leadership & Coordination Collaborate closely with the Performing Arts directing team, including directors, choreographers, music directors, and production staff, to promote structure, communication, and cohesion across productions. Develop and manage comprehensive production timelines, including non-student-facing milestones such as licensing, design, construction, marketing, ticketing, technical preparation, transportation, and venue logistics. Coordinate scheduling among directors, costume designers, set designers, technical teams, musicians, faculty, administrators, facilities personnel, and parent volunteers. Facilitate regular production meetings and maintain clear communication among all stakeholders. Serve as the primary logistical coordinator for all productions from planning through strike and storage. Anticipate challenges and proactively problem-solve production, scheduling, staffing, and operational issues. Creative & Production Oversight Support directors in realizing their artistic vision within practical, financial, and facility constraints. Coordinate and support costume, props, set construction, technical, and backstage operations. Coordinate with academic and performing arts directors regarding facility use and the impact of rehearsals and productions on academic and extracurricular schedules. Budgeting & Financial Management Create and manage production budgets for all shows. Monitor and track all production expenses and revenue. Collaborate with the finance team to prepare financial projections and provide regular budget updates to the administration. Ensure productions remain financially responsible while meeting artistic and educational goals. Manage production purchasing and vendor payments in accordance with school procedures. Licensing & Contract Management Secure performance rights and licenses through Music Theatre International (MTI) or other licensing organizations. Ensure compliance with all licensing agreements and performance requirements. Negotiate and coordinate contracts for stage managers, musicians, technical crew, set designers, sound engineers, lighting engineers, and other production personnel. Maintain production records, contracts, permits, and required documentation. Technical & Facilities Coordination Arrange and schedule technical personnel including: Stage Managers Sound Engineers Lighting Engineers Set Designers Musicians and technical crew Oversee the conversion of school facilities into performance venues and coordinate restoration of spaces following events. Coordinate the setup and operation of the Lower School Theater and other performance venues. Direct strike, storage, and return of shared-use spaces to their primary educational functions following productions. Ensure that productions meet all applicable safety requirements and that student safety remains a top priority. Ramayana! Co-Production Management Meet weekly with the Ramayana! Production team during the spring production season. Coordinate transportation of sets, costumes, props, technical equipment, merchandise, and production supplies to and from the theater venue with the Ramayana! Production team. Coordinate venue logistics, backstage operations, loading schedules, storage needs, parking, security, and facility requirements with Ramayana! Production team. Manage transportation logistics for students, equipment, and production materials with the Ramayana! Production team. Marketing, Ticketing & Community Engagement Collaborate with the Performing Arts team and the Advancement Office to develop marketing and audience engagement strategies. Work with the Advancement Director and marketing staff to coordinate: Marketing campaigns Social media promotion Press releases and media outreach Ticket sales campaigns Playbill production and advertising Establish ticket pricing structures in consultation with the administration. For Ramayana, the ticket price is established in collaboration with the co-producers. Oversee ticketing operations and manage the TicketSpice platform. Coordinate seating charts, ticket sales, group reservations, and complimentary ticket requests. Monitor ticket sales and provide regular sales reports. Parent & Volunteer Coordination Communicate with families regarding volunteer opportunities, expectations, schedules, and production needs. Coordinate and supervise parent volunteer participation across productions. Organize and staff concessions and other audience services. Community & Campus Coordination Serve as liaison with Mount Madonna Center regarding: Parking Traffic flow Gate access Facility impacts Event logistics Coordinate with faculty, staff, facilities, transportation personnel, and administration regarding production-related campus impacts. Maintain positive working relationships with students, families, volunteers, vendors, and community partners. Qualifications Demonstrated experience in theatrical production, event management, arts administration, or related fields. Strong organizational and project management skills. Experience developing and managing budgets. Ability to manage multiple projects and deadlines simultaneously. Excellent communication and interpersonal skills. Experience coordinating volunteers and working collaboratively within teams. Familiarity with theatrical production processes, technical theater, and live event management. Ability to problem-solve effectively in dynamic environments. Commitment to supporting students and fostering positive educational experiences.
